Administrative Spec III
Job Description:Logistics and Meeting management – attend and support meetings, logistics, work with vendors, track meeting attendance, prepare and distribute materials, take and distribute minutes.
Record Keeping – maintain accurate and organized records and filing system, post content timely to Board website, maintain and update Board documents.
Administrative and Logistical support for the UF Board of Trustees including prepare and distribute materials, schedule and coordinate travel, track expenses, assist with orientation.
Communication management – serve as a point of contact, handle inquiries and requests, coordinate with trustees and their staff as well as campus partners, draft and distribute correspondence and communications, interact with members of the public.
Administrative and Logistical support for presidential athletics including administrative support – event invitation and correspondence, manage mass mailings, track expenses, draft and manage invoices, assist with training, develop strategies for improving processes; communication support – serve as a point of contact with campus partners to gather information, provide timely updates, provide training and manage issues
Expected Salary:commensurate with experience
Minimum Requirements:Bachelor’s degree and five years of relevant experience; or an equivalent combination of education and experience.

• Organization and Attention to Detail – expert multitasker, create/improve systems • Minute Taking – concise writer, ability to clarify and summarize information accurately

• Adaptability – handle variety of tasks, able to pivot quickly
• Collaboration - skilled in engaging in a trusting, constructive way with colleagues and stakeholders across a wide range of levels; experience working with high-level leaders/executives
• Discretion and Confidentiality – demonstrate ability to exercise discretion and maintain confidentiality
• Technical Skills - knowledge of computer word processing, and database management; experience with Microsoft Office, Salesforce; basic website maintenance
