U.S. and Canada benefits, supporting our employees and vendor management. The role reports into our Jersey City, NJ office, offering a hybrid work environment with in-office work 2-3 days/week. This role involves evaluating the effectiveness of current benefits, ensuring compliance with applicable laws and regulations, and providing detailed analysis to support decision-making. The Benefits Specialist will work with benefits vendors and provide support to employees.
Primary Responsibilities:
Subject matter expert for health & benefits, retirement, and wellbeing programs to respond to employee inquires.Provide day-to-day administration and resolve employee issues on the U.S. Health and Benefits plan; Canada Health and Benefits plan and retirement plans.Assist U.S. retirement 401(k) plan, executive top hat plan, employee stock purchase plan (US and Singapore), pension administration.Knowledge of legal requirements related to day-to-day management of employees, reducing legal risks, and ensuring regulatory compliance as it relates to the above plans.Partner with HRBPs and communicate with HR leaders to research employee escalations on employee benefits.Process benefits vendor invoices.Processing of death benefits. Includes death benefit counseling and knowledge of the life insurance process.Responsible for the day-to-day administration, analytics, and reporting.Ensure all plans meet Federal and State regulations and are utilized effectively by employees. Make recommendations where appropriate for plan enhancements and cost savings.Assist with compliance tasks including 5500 audit, Summary Annual Report (SAR) distribution, Retirement Drug Subsidy (RDS) coordination, partner with consultants on HIPAA training, SPD and wrap plan document updates. Ensures timely submissions of all benefit-related filings.Support all plan audits.Manage Service Now escalations—providing tier 2 & 3 level support.Manage plan vendors with ongoing meetings, communication, process improvements, SLAs.Ensure proper documentation and follow through are completed in a timely manner with good communication of results to both employees and managers.Manage processes for U.S. and Canada new joiners and Benefits orientation presentations.Assist with informing employees about their benefits packages.Assist with M&A and Divestitures as needed, providing benefits information and guidance to employees.Assist with Open Enrollment preparation, audits and reporting.Assist with Open Enrollment tasks, testing, communication review as needed. Support with open enrollment Benefits fairs.Assist with Wellbeing programs.Completes all special projects and other duties as assigned.QualificationsBachelor’s degree required.A minimum of 4 to 5 years of experience in benefits (Health & Welfare, Leave Administration, 401(k) and/or Pension plans).Working knowledge of PeopleSoft, Oracle, Business Solver, ADP, various HRIS and Benefit provider systems is required.Proven ability to gain credibility at all levels quickly, excellent relationship management skills.Experience working effectively as part of a team, demonstrating initiative and proactively contributing ideas, views and recommendations for best practices and process improvement.Ability to work independently with a high-level of accuracy and strong attention to detail.Strong analytical, communication and decision-making skills.Knowledge of Employee benefits laws and regulationsStrong Microsoft Office (Excel, Word, PPT etc.), and HRIS skillsDemonstrates excellent analytical skills, and applies functional benefits knowledge to solve problems and identify opportunities for improvementLooks for process efficiencies and streamlines processes from beginning to end with little oversight.Communicates clearly and concisely, both orally and in writingAbility to manage and prioritize multiple projects, and stays focused on achieving goalsEstablishes and maintains cooperative working relationships with all levels of employees, internal and external stakeholders.#LI-LM03
