Business Services including Administration and Mail Handling

Review and update of DRRS and DIM on regular basis

Letter shopping project for mail merging and mailing process

Monthly travel/hotel accommodation report

Monitoring the monthly data usage for front office staff

Replenish stationeries, AOB and service request forms etc.

Update staff phone directory

Email to inform BOA staff that leaver name has been removed

Support and coordinate annual split drill for BCP

Liaise with print shop for documents printing

Coordinate with building management team on all facility matters such as maintenance service,

setting up of workstation for newcomer etc.

Administration-related tasks in relation to GPB SG

Receipt of returned mail, tally count and update in returned mail excel. Email to inform and follow up with front office. Send out returned mail as per request

Maintain a list of extension number with phone recording configuration in an excel

Assist in phone recording testing review and update result in an excel

Assist to raise GSR for phone recording request, check configuration is correct and conduct test

call

Liaise with SGH COMM if there are issues

Reconciliation of phone recording lines against monthly verification report of SGH COMM.

Reconciliation of relocation of staff/new joiner to check recording is still enable after relocation against monthly verification report of SGH COMM

Retrieval and printing of historical statements/advices

Assist to update BCC and EXCO report

Received daily confirmations from SGH (Wee/Awyong team) for special handling accounts and tally against control report/eWIS2 Hold mail register and act accordingly

Received documents from Toppan and tally against control report/eWIS2 Hold mail register and act accordingly

Perform client’s special handling request accordingly and to meet T+1 requirement procedure Summary of Action required

Document Central filing for front office workflow

The operator will file all the documents after scanning.

Document filing is in accordance with account number. All documents filed must be accurately captured in a centralregister. Deposit / retrieval of files must be tracked and monitored.

Some documents not scanned and required to be filed will

be handled by the operator.
