Skills and Competencies
Minimum of 5 years of experience in operations, data analysis, or human resources, with a focus on record management preferred.Preferred experience in HR Operations.Strong analytical and problem-solving skills, with a keen attention to detail.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with data management and document management software.Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.Strong verbal and written communication skills, with the ability to collaborate effectively with team members and stakeholders.A proactive approach to identifying areas for improvement and implementing effective solutions.
Education
Bachelor’s degree in business administration, Human Resources, Information Technology, or a related field.
Responsibilities:
Assist the People Team in reviewing personnel files to determine what information should be retained and what should be discarded, following guidelines provided by Moody's.Sort through personnel files and securely shred documents that do not need to be retained.For personnel files that must be retained, digitize hard copy documents and store the electronic versions in the respective employee's electronic personnel folder.Direct inquiries to the appropriate personnel during the review of these files when necessary.Use Microsoft Office Suite (Word, Excel, PowerPoint) to prepare reports, memos, and other documentation as required.Communicate with key stakeholders regarding the status, progress, and updates related to the review and digitization of personnel files.Coordinate the maintenance of personnel files and other document/legal requirements as necessary.Perform other administrative tasks, including updating and categorizing electronic documents to ensure they are appropriately labeled and organized.Conduct regular audits of digitized records to identify discrepancies and implement corrective actions as necessary.Lead initiatives to streamline employee record management processes, identifying areas for improvement and implementing best practices.Provide training and support to team members on new systems and processes related to the digitization of employee records.Analyze data trends and provide actionable insights to enhance employee record management and overall operational efficiency.Participate in special projects as assigned, contributing to the overall effectiveness of the operations team.For US-based roles only: the anticipated hiring hourly range for this position is [[$30 - [[$35, depending on factors such as experience, education, level, skills, and location.
