**Overview**
The Associate Director, Operations is responsible for helping lead the operational day-to-day and providing strategic leadership on the Inspire Media Engine (IME) Operations team. They will develop, implement and manage processes and best practices to ensure client success and must understand the financial and media planning process from client brief to plan execution to improve process efficiency.
**Responsibilities**
**Investment Operations Support (50%):**
+ Lead operational support for the Investment team in campaign activation, including template creation, timeline management, compliance, implementation, activation, and reconciliation.
+ Drive center of excellence for media operations maintaining knowledge of systems like MediaOcean–Prisma, Ad Servers/Verification, DSPs, Social Platforms, DMPs, and proprietary tools.
+ Ensure campaign planning timelines and key deliverables are met.
+ Provide timely key information to the team, including client setup/execution issues, internal agency issues, vendor issues, etc.
+ Identify potential “at-risk” deliverables and develop contingency plans.
+ Ensure compliance with platform taxes reporting monthly.
+ Implement processes and templates to improve media buying, client billing, and reconciliation.
+ Ensure proper digital contracts and terms, evaluate IO notes from vendors, and ensure IOs are accepted.
+ Audit MediaOcean estimates to ensure they align with approved authorizations.
+ Partner with Investment on managing traffic requests/SLAs and escalate concerns to leadership.
**General Operations Support (30%):**
+ Support the VP, Operations in managing key initiatives and projects.
+ Lead communications and collaboration across departments, establishing clear expectations, deliverables, and timelines.
+ Develop playbooks for internal and external teams to ensure consistency.
+ Ensure the agency’s work reflects integrated expertise and is executed with high quality and efficiency.
+ Foster and manage relationships with various departments.
+ Anticipate and resolve internal team and client issues, utilizing leadership support as needed.
+ Serve as an escalation point for operations issues.
+ Learn and understand the Zenith Ways of Working and Inspire Brands’ business to refine workflows and systems.
+ Collaborate with the Operations Team to develop and improve processes for data integrity.
+ Share ideas and solutions for process improvements and work with teams to develop best practices and tools.
+ Lead and assist with ad hoc projects.
+ Delegate and guide junior team members on projects and tasks for their growth and development.
**Finance Operations Support (20%):**
+ Partner with Finance Ops and Investment on budget reporting and billing initiatives.
+ Ensure accurate and timely billing each month with Finance Ops, Client Finance, and Investment Leads.
+ Partner with Finance Ops on budget reporting, including Publicis Media Flash Forecasting, Publicis Media Maximizer Vendor Forecasting, AR Reports, Client Planned Dashboard, Unbilled Reports, etc.
**Qualifications**
+ 5+ years of related experience.
+ Project management and Media Agency experience.
+ Ability to work independently and collaboratively with diverse groups.
+ Knowledge of digital planning and buying processes, various vendors, cost methods, and reporting/delivery validation.
+ Exceptional critical thinking and problem-solving abilities.
+ Proven ability to multi-task and manage multiple projects effectively under pressure.
+ Strong attention to detail.
+ Proven experience in coaching and developing others.
+ Proficiency in MS Office: Excel and PowerPoint.
+ MediaOcean/Prisma proficiency.
+ Guideline Planning (MediaTools) experience preferred.

Compensation Range: $95,950 - $110,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met.
