WHERE YOU’LL FIT WITHIN THE TEAM
As an Associate on the Chicago Events team, you’ll play a key role in creating memorable in-office experiences. You’ll manage small event logistics, oversee the Chicago office event calendar, and provide support to the broader Business Operations & Events team. You’ll also work closely with other Bain Chicago departments and external vendors to ensure seamless event execution. In this role, you’ll take day-to-day direction from the Manager, Business Operations & Events and collaborate with the Specialist, Business Operations & Events, Chicago Office Services, administrative assistants, and the Chicago Office Chief of Staff. This role requires light travel for site selection and on-site event support.
WHAT YOU’LL DO
Event Planning & Coordination
Plan and execute small to medium-sized in-office events, ensuring seamless logistics and adherence to company policies.Order catering for events, ensuring adequate food and beverages while staying within guidelines.Lead vendor selection, including price negotiation and maintaining an approved list of local vendors.Oversee event communications, including invitations, reminders, and post-event feedback analysis.Serve as the primary contact for event planning, collaborating with administrative assistants, the Specialist, Business Operations & Events, and Chicago Office Services.Event Execution & On-Site Management
Conduct stakeholder meetings to assess event objectives and goals.Provide recommendations based on event experience and best practices.Manage on-site operations, making sound decisions and escalating issues as needed.Delegate tasks efficiently to administrative assistants, Chicago Office Services, and event volunteers.Budgeting & Reporting
Track event-specific budgets and manage spend effectively.Write and distribute event correspondence, including communications to senior leadership, with manager guidance.Conduct post-event debriefs with managers and stakeholders to analyze feedback and identify improvement opportunities.Consolidate event files for future reference and process improvement.Cross-Functional Collaboration & Office Initiatives
Build and maintain strong relationships with key stakeholders, becoming a “go-to” resource for in-office event planning.Support various office-wide initiatives, including:Large office-wide eventsOffice strategy initiativesMajor recruiting eventsInternal events calendar and newsletterOffice connectivity budget managementEvent team SOPs and best demonstrated practices (BDPs)
ABOUT YOU
You have a BA/BS degree.You’re able to be in the office at least three days a week and on-site for events as needed, including occasional evenings and weekends.You have 1+ years of experience in administrative support, event planning, or hospitality operations.You have experience or a strong interest in catering and events, with knowledge of local restaurants.You’re a strong communicator, comfortable representing Bain Chicago to external venues and vendors.You bring excellent interpersonal, negotiation, organization, and project management skills.You positively impact team culture and morale, helping to foster a strong sense of community across Bain Chicago.You have a flexible work style, balancing multiple priorities, tight deadlines, and last-minute changes with ease.You work productively both independently and as part of a team.You’re comfortable interacting with senior leadership and collaborating cross-functionally.You’re proficient in Microsoft Office (Excel, PowerPoint, and Word).You’re able to assist with in-office event setup, including moving large objects like conference room tables.Experience in marketing and graphic design is a plus.U.S. COMPENSATION INFORMATION
Compensation for this role includes base salary, annual discretionary performance bonus, 401(k) plan with an annual employer contribution based on years of service and Bain’s best in class benefits package (details listed below).
Some local governments in the United States require a good-faith, reasonable salary range be included in job postings for open roles. The estimated annualized compensation for this role is as follows:
In Illinois state, the good-faith, reasonable annualized full-time salary range for this role is between $52,500 - $62,500; placement within this range will vary based on several factors including, but not limited to experience, education, licensure/certifications, training and skill levelAnnual discretionary performance bonus This role may also be eligible for other elements of discretionary compensation 4.5% 401(k) company contribution, which increases after 3 years of service and is 100% vested upon start date
