Essential functions (job duties):
Job Purpose:
Provide program management support for emergency medicine, medical toxicology and global health. Develop related proposals, analyze services and resources and serve as a unit representative and liaison interfacing with key internal and external contacts. Manage multiple projects and programs operating concurrently.
Essential Functions:
Responsible for the coordination, monitoring, implementation, control, and completion of projects. Lead and assist in the implementation and coordination of special operational projects and ensure timely completion of multiple and potentially conflicting timelines. Effectively manage project scope by ensuring any changes to scope are documented and approved. Ensure work orders are tracked and completed within the budget guidelines. Keep project budget and timeline on track by anticipating challenges and adapting plans accordingly. Participate in program and/or project management research initiatives; Interface with administrative personnel in determining program/project resource utilization, equipment and service capabilities, and policy and procedural changes.
Oversee clinical trial contract management, including budget projection and expense administration. Forecast expenditures and revenues to project funding requirements needed for efficient allocation of resources. Review budgetary forms and documents to ensure adherence to established budgeting procedures and requirements as well as granting agency guidelines and regulations.
Develop funding proposals to support programs and monitor program costs. Analyze resource utilization, evaluate equipment and services, and recommend policy and procedural changes as they impact specific programs and/or projects. Participate in program and/or project research initiatives.
Plan, coordinate, implement and maintain continuous and ongoing state, local and national conference to educate and publicize the department’s efforts. This involves advertising, registrations, meeting space, speakers, travel, finances, and evaluation of the value added for each conference. Includes changing and improving for future events. Ensure faculty are aware of teaching commitments and available for scheduled events. Coordinate regional and national conference for continuing medical education credits for the professionals in the surrounding community and nationwide.
Assist in managing faculty academic processes, including promotion and tenure processes, faculty activity reporting logs (FALS), and the AAUP and Annual Faculty review process in a timely and accurate manner.
Provide key consultative analysis and advice to management staff; review equipment requests which includes the application of cost/benefit analysis methods as well as the evaluation of contractual agreements. Determine inventory and equipment needs. Coordinate purchasing activities, assess needs, contact vendors for quotes, etc. Order materials as necessary. Analyze different suppliers to obtain the best cost-effective prices.
Prepare and develop various detailed statistical and administrative reports regarding program/project status. Interact with department staff and outside professionals in the coordination of specific tasks or aspects of various projects. Assist in the development of program/project materials and, dependent upon the organizational operation, any related information or publicity pieces. Participate in individual and group presentations.
Responsible for preparing annual report and quarterly newsletter. Involves coordinating contributing authors, arranging layout (color, design), printing, editing and maintaining distributions lists (both mailing and emailing). Update distribution lists as appropriate. Update and maintain website to always reflect current information and events. Must keep abreast of entire calendar for the department and maintain skill level to develop first rate web material.

Serve as a resource and liaison to departmental administrators, principal investigators and outside vendors with regard to budget management, university policies and procedures. Act as a departmental liaison for CI&T for all computer hardware and software issues. Oversee and monitor regular facility maintenance and repair. Keep abreast of technical and administrative developments and integrate such in the specific operational activities, serves and mission of area. Serve as a technical resource and respond to inquiries necessitating problem resolution techniques.

Education: Bachelor's degree
Experience: Experienced (minimum 2 years of job-related experience)
Knowledge, Skills and Abilities:
TECHNICAL KNOWLEDGE - Reasonable knowledge of graduate medical education and/or operational activities of an assigned area, e.g., computing technology, research funding, government regulations. Reasonable knowledge of University policies and procedures.
COMMUNICATIONS SKILLS - Effective interpersonal and customer service skills. Strong oral and/or written communications skills. Ability to communicate effectively with others.
ANALYTICAL SKILLS - Ability to compare, contrast and quality check work with a keen attention to detail. Strong analytical skills including: critical thinking, problem solving skills.
TECHNOLOGY SKILLS - Proficient in the use of Microsoft Office suite and use of the internet in a business setting. Ability to compute with speed and accuracy. Working knowledge of web design.
PROJECT MANAGEMENT SKILLS - Ability to prepare and present special projects with little or no supervision/ oversight. Ability to meet deadlines. Ability to work independently and without formal instruction.
