The Personal Assistant (PA) to the CEO and CFO will provide high-level administrative support to the executive team, inclusive of the DI/AT Team as well as the Vitro Management Team.
This role requires a proactive and highly organized individual who can manage multiple tasks and priorities efficiently. The PA will act as the primary point of contact for internal and external stakeholders, ensuring smooth communication and coordination.
Duties and responsibilities include the following, but are not limited to:
Administrative Support: Manage the daily schedules, appointments, and travel arrangements for the CEO, CFO support the DI/AT team as well as Vitro management. Ensure that all meetings and events are well-organized and run smoothly.
· Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements.
· Coordinate and prioritize daily tasks, ensuring deadlines are met.
· Handle confidential and sensitive information with discretion.
· Screen and manage incoming calls, emails, and other communications.
· Prepare correspondence as needed.
· Assist with preparing purchase requisition and goods receipt for supplier payment (SAP)
· Assist with expense claims (on Concur)
Communication: Handle all incoming and outgoing communications, including emails, phone calls, and correspondence. Draft and proofread documents, reports, and presentations as needed.
· Serve as a point of contact between executives and internal/external stakeholders.
· Build and maintain professional relationships with clients, business partners, and colleagues.
· Respond to inquiries and follow up on communication with appropriate parties.
Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for executive meetings. Coordinate logistics for board meetings, conferences, and other events.
Project Management: Assist with special projects and initiatives as assigned by the CEO, CFO, DI/AT and Vitro management. Track progress and ensure timely completion of tasks.
· Assist with various projects by tracking progress, managing timelines, and supporting team collaboration.
· Ensure key stakeholders are kept informed of project statuses.
Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
Office Management: Oversee office supplies and equipment, ensuring that the executive office is well-maintained and functional.

· Oversee the organization of files and records, ensuring proper documentation and easy retrieval.
· Coordinate with other departments when necessary.
· DHL shipment – assist with creating waybills for shipments to customers, business partners and SHS regional offices
Qualifications & Experience
Education: Bachelor’s degree in business administration, Management, or a related field. Experience: Minimum of 5 years of experience in an executive assistant or personal assistant role, preferably supporting C-level executives.Skills:
· Excellent organizational and time management skills.
· Strong written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to multitask and prioritize effectively.
· High level of professionalism and attention to detail.
· Strong interpersonal skills and the ability to work well with diverse teams.
