Assistant Manager Workplace Experience (Facilities)

Major Responsibilities

Coordinate the maintenance of facilities, buildings, and equipment to ensure optimum functionalityIdentify, assess, negotiate, and resolve building maintenance and usage problemsAssist in the upkeep and preventative maintenance of assigned facilitiesConduct regular inspections and quality control checks to ensure adherence to contract specifications and standardsAssist in maintaining building security; report security problems to appropriate authoritiesSchedule space usage, control key issuance, and manage building securityPrepare calendars and maintain records related to facility usageOversee activities of contractors, vendor personnel, and suppliersMonitor contracts for compliance and control costsServe as liaison between facility manager and vendor staffRecommend correction of deficiencies and coordinate remodelling activities as appropriateMonitor budget; review and approve purchase ordersMonitor general expenditures of the unitAnalyze, develop, and design solutions to reporting requestsDesign and implement reports to measure service performance metricsPrepare scheduled and periodic reports of facility usage, maintenance, and conditionPlan and implement training programs for department staff and clientsOversee events held at the facility; interact with caterers and/or auxiliary staff as appropriateEvaluate and maintain help desk software; oversee preparation and distribution of system updatesMaintain and order equipment and supplies for facility operationsAny other assignments given by Management within the purview of the contract

Qualifications and Skills:

Bachelor's degree in Facility Management, Business Administration, or related field3-5 years of experience in facility management or related fieldStrong knowledge of building systems and maintenance practicesExcellent organizational and time management skillsProficiency in Microsoft Office Suite and facility management softwareStrong analytical and problem-solving abilitiesExcellent communication and interpersonal skillsCustomer-oriented with a focus on enhancing workplace experienceAbility to multitask and work under pressureKnowledge of health and safety regulations
