Job Description: Asset Officer

The role of an Asset Officer is to manage and oversee the asset management process for a company's portfolio of assets. This includes monitoring and enhancing the performance of assets, conducting regular inspections, and maintaining accurate records.

Responsibilities:

Asset Management

Asset Registration Management: Act as the single point of contact to collaborate with other stakeholders to ensure the Assets will be registered properly.Asset Tagging: Issue Asset Tags to the asset owners/ project managers.Conduct Asset Management Audit and send out report to customers.Asset Monitoring: Regularly monitor the performance and condition of assets, ensuring compliance with company standards and identifying any potential issues or risks.Inspections: Conduct inspections of assets to assess their physical condition, identify maintenance needs, and ensure compliance with safety standards and regulations.Documentation and Record-keeping: Maintain accurate and up-to-date records of asset details, including maintenance history, warranties, and financial information, using appropriate asset management systems or software.   Readiness for Maximo officer to upload in Maximo.Maintenance Planning: Collaborate with maintenance teams to develop and implement asset maintenance plans, ensuring assets are properly maintained to prolong their lifespan and optimize performance.Repair and Replacement: Coordinate repair and replacement activities for assets as needed, ensuring minimal disruption to operations and maximizing cost efficiencies.Risk Mitigation: Identify and assess risks associated with assets, such as safety hazards or potential environmental impacts, and implement appropriate risk mitigation strategies.Reporting: Prepare regular reports on asset performance, maintenance activities, and any identified issues or risks, and present findings to stakeholders and management.Compliance: Ensure asset management activities comply with relevant laws, regulations, and industry standards, including financial reporting requirements and environmental regulations.Stakeholder Communication: Liaise with internal stakeholders, such as property managers, facilities teams, and finance departments, to ensure effective communication and collaboration in managing and optimizing assets.

Furniture Monitoring and furniture inventory:

•            Weekly line-walk for checking furniture status.

•            Monitor quarterly line-walk audit with Intel Space Planner.

•            Track and update with Intel Space Planner on furniture book.

•            Receiving furniture.

•            Managing all damaged returns, and warranty issues with furniture suppliers.

•            Scrapping furniture.

•            Coordinate, consult & provide data for new furniture installation projects performed by JLL.

Furniture MAC:

Receive request of Furniture MAC from Action line 5678.Study if the ticket can be performed or not.MAC at request with site vendor in charge or On-demand.Inform Action line 5678 to close the ticket.

Requirements:

Education: Bachelor's degree in a relevant field, such as business administration, facilities management, or real estate. Additional certifications or training in asset management are a plus.Experience: A minimum of 2 years of experience in asset management, property management, or a related field, with knowledge of asset management principles and practices.Analytical Skills: Strong analytical and problem-solving skills to assess asset performance, identify areas for improvement, and make data-driven decisions.Attention to Detail: Excellent attention to detail in maintaining accurate records, conducting inspections, and identifying potential issues or risks.Communication Skills: Strong written and verbal communication skills to effectively communicate with stakeholders and present information or reports clearly and concisely.Organization and Time Management: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.Technical Proficiency: Familiarity with asset management software or systems, as well as proficiency in Microsoft Office Suite.Knowledge of Regulations: Understanding of relevant laws, regulations, and best practices related to asset management, including compliance requirements and safety standards.The Asset Officer plays a critical role in managing and optimizing the performance of the company's assets, ensuring their operational integrity, and maximizing their value. Strong analytical, organizational, and communication skills are essential for success in this position.
