The candidate selected for this position will work 19 hrs./week. POSITION GENERAL SUMMARY: Responsible for maintaining current and archived records in physical and digital format to facilitate public and court retrieval in accordance with records retention schedules and statutes. Performs a wide variety of tasks related to seasonal county elections. Essential Functions Archive Clerk I: + Prepares original files to be scanned; + Tracks and updates status, location, and disposition of records; + Archives court records; + Digitizes files and microfilm rolls to be archived; + Scans files to be archived; + Indexes and cross-references files; + Collects production and quality statistics; + Supports the Elections Director and Supervisor during county elections. Archive Clerk II: + In addition to the above job responsibilities: + Retrieves, copies, prints, emails or transmits stored files, documents; + Performs routine equipment maintenance; + Inputs and communicates production data; + Develops production schedules and monitors inventory levels; + Trains staff members in file management, quality assurance, software, and process procedures; + Advises Records Manager of routine production schedule adjustments, supply requests, equipment issues and software management; and + Contributes to process procedure development and updates. ADDITIONAL FUNCTIONS + Supports County elections; + May act as back-up to County Courier; and + Performs related duties as required. Job Requirements + High school diploma or equivalent; + Experience with digital imaging processes, software, and equipment; + Understanding of electronic file structures; + General knowledge of records retention and quality assurance practices; + Ability to follow court mandated standards, guidelines, and procedures for record copying, storage, and retrieval; + Ability to use a personal computer with MS Outlook and MS Office; + Ability to operate digital copying and retrieval equipment; + Ability to use general office equipment such as a copier, printer, shredder and scanner; + Ability to work independently and move from one task to another without being directed; + Ability to work cooperatively and constructively with co-workers; + Skill in time and task management; + Must possess and maintain a valid driver’s license; + Working hours are generally from 8:00 a.m. to 5:00 p.m., Monday through Friday, but may vary with the needs of the County. During elections time (up to four times a year) will include some evening and/or weekend work, including overtime. In the event of serious systems problems, additional hours may be required; and + Ability to maintain confidentiality of records. Work Environment & Physical Demands + May be required to sit for long periods of time; + Must be able to perform repetitious hand and arm movements, lifting, reaching over head; + Must be able to bend, stoop and use a ladder; + Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions; + Work may include local travel between various county offices and county voting sites, and + Must be able to routinely lift and move boxes or equipment weighing at least 40 lbs.
