Summary of This Role

Provides day-to-day administrative and recruitment support for the recruitment team. Is responsible for coordinating the interview schedules, making travel arrangements, escorting candidates, creating offer letters, facilitating background checks and other related recruitment duties.

What Part Will You Play?

Supports the recruitment process by ensuring candidate interviews are scheduled in a timely and professional manner utilizing available tools and technology to track interview stages. Checks the availability of Meet-Me-Lines (MML) and video conferencing devices/locations for use in scheduling interviews. Coordinates travel arrangements and reconciles travel expenses. Oversees and assists the work of less experienced coordinators. May assign tasks, as directed.Oversees the applicant screening and pre-employment processes to support recruiters. Performs a thorough analysis of results, obtains and evaluates additional supporting documentation, as needed, and determines eligibility. Consults with recruiters on ambiguous results. Assists in the selection of third-party agency/vendors (i.e. background, testing) and manages relationships. Participates in quarterly reviews and escalates issues, as needed. Administers the Employee Referral Program, submits referral bonus amounts for approval and payment. Documents and develops policies and procedures. Trains and assists new coordinators on processes/procedures and educates on recruitment policies/practices.Ensures a timely follow up with potential candidates by monitoring the work of other coordinators and tracking progress of applicants in the applicant tracking system. Serves as a Subject Matter Expert (SME) of the screening/pre-employment recruitment practices providing expertise and advice to team members and applicants. Makes sure new hire paperwork is in order, orientation dates are scheduled within a reasonable time from hire date and security badge/access forms are completed correctly. Greets potential candidates and provides escort, as needed. Conducts periodic surveys for applicant/candidate feedback on pre-employment experience in order to improve processes. Communicates results, makes recommendations and implements, as directed.Updates and maintains new hire paperwork documents to ensure most current information and forms are provided to include offer letter formats, company policies, tax forms, demographic information form and related materials. Assists candidates by answering questions around the purpose and use of the forms. Communicates and assists in resolving issues with identification verification. Coordinates relocation arrangements and expenses with selected candidate.Oversees data entry and tracking in both the Human Resource Information System (HRIS) and applicant tracking system. Audits the data entries of less experienced coordinators. Identifies and resolves potential conflicts or issues. Monitors and tracks applicant data through the recruitment process. Provides reports, as directed. Trains new coordinators on Human Resource (HR) systems.Occasionally acts as an advocate of Global Payments by facilitating, coordinating, and/or attending recruiting functions, such as career fairs, college visits, or related activities, providing insight into how to apply for a job at Global Payments.
