**Job Summary**
Our Von Voigtlander Women's Hospital Administration team is seeking a dedicated Clerical Supervisor to lead and support its business operations for our Dayshift staff through the effective management of clerical staff. This role is responsible for hiring, training, and mentoring clerical team members, ensuring high standards of customer service, and implementing process improvements to enhance operational efficiency. The position involves oversight of daily operations, resolution of staff and operational issues, and collaboration with leadership to maintain compliance with policies and regulations.
The ideal candidate will demonstrate strong accountability, problem-solving abilities, and excellent communication skills to foster a professional, collaborative work environment. This position reports to the Administrative Director and plays a critical role in driving service excellence and promoting quality improvement initiatives within the department.
**Responsibilities***
**Duties:**
+ This position is for a Supervisor for VVWH Administration in the Women's Birth Center. The primary role is the support of the Women's Birth Center Business operations via the management of the day staff. Special projects as assigned.
+ Hire, Orient and train staff.
+ Implement changes as required to improve services within assigned level of responsibility.
+ Assure compliance with ADA, EEO, and Affirmative Action programs and policies. This position reports to the Administrative Director for the Women's Birth Center.
**Personnel Management:**
+ Participate in interview and selection of Women's Birth Center Unit Clerks.
+ Coordinate, assign and supervise the work of Unit Clerks.
+ Counsel, coach, discipline, and evaluate Unit Clerks.
+ Participate in the development, implementation and revision of individual performance plans and professional advancement.
+ Participate in the development and revision of orientation plans and process for Unit Clerks and Administrative Assistants including selection and training of preceptors.
+ Identify need for in-service training programs for new and existing clerical staff. Ensure compliance with required competency and mandatory education.
+ Facilitate open channels of communication with managers, peers, staff, and physicians.
+ Role model effective high level customer service, demonstrating Service Excellence commitments in daily work.
+ Promote staff involvement in department quality improvement/lean initiatives
+ Assist in recruitment, recognition and retention initiatives
+ Promote leadership and professionalism
**Daily Operations**
+ Resolve day to day operational problems and employee issues as they arise.
+ Assist in the orientation of faculty and staff to Women's Birth Center clerical operations.
+ Support Administrative Director in ensuring efficient operations of department business machines and communication devices.
+ Ensure appropriate levels of forms and other supplies required for efficient clinical and clerical operations. Liaison with vendors providing/supporting these supplies as needed. Revise and recommend changes to forms inventory.
+ Collaborate with the Administrative Director in the development and implementation of new and revised policies, procedures, and methods.
+ Participate in Women's Birth Center Management Team meetings and serve on other teams as delegated by Women's Birth Center Administrative Director.
+ Represent the Women's Birth Center Administrative Office to other departments and outside agencies as delegated.
+ Provide leadership and supervision for clerical staff and overall department support working primarily on the day shift.
+ Staff one shift per month to maintain competency in all clerical roles and work assignments.
+ Provide on call coverage (if necessary)
+ Plan, organize, supervise and manage the daily clerical responsibilities of the Women's Birth Center clerical staff
+ Assess daily staffing requirements and scheduling plans
+ Plan, develop and implement department operational policies, procedures and systems
+ Review and evaluate unit activities and support systems, and implement changes to improve and maintain the effectiveness of operations
+ Maintain safety standards to assure compliance with University, State, and Federal codes and regulations
+ Closely monitor non-productive time
+ Monitor the usage of over appointment and overtime
**Training Role**
+ Administer, organize and conduct training and educational programs in the connection with management, on the job training and employee orientation.
+ Follow up with trainees to evaluate the effectiveness of the training program.
+ Assist with the coordination of programs, new department and University initiatives.
+ Routinely provide reports/audits on the activities of the staff development function.
+ Analyze, compare and evaluate various courses of action and make independent decisions.
+ Attend various committees, lead projects/new programs.
**Professional Development**
1. Participate in activities to promote own continued learning and professional growth. Attend appropriate continuing education offerings and staff development programs, review literature, and collaborate with peers and other professionals.
2. Develop performance plan consistent with goals of VVWH and Michigan Medicine. Evaluate own performance periodically with manager.
**Supervision exercised** :
Administrative supervision is exercised over Women's Birth Center Unit Clerks.
**Required Qualifications***
+ Associate's degree in a related health science or an equivalent combination of education and experience is necessary.
+ Reasonable administrative and clinical experience is necessary.
+ Three years of progressively responsible clerical experience.
+ Evidence of demonstrated leadership ability, including team leader, supervisor, or other leadership experience.
+ Demonstrated skills in conflict resolution, coaching and mentoring.
+ Demonstrated ability to communicate and collaborate in a manner that fosters teambuilding with all levels of staff and management, both internal and external to the department.
+ Strong ability to work independently and collaboratively with others.
+ Demonstrated organizational skills, decision-making and problem-solving skills, managing multiple tasks and projects and thinking independently.
+ Demonstrated ability to promote professional working relationships.
+ Strong computer and system skills.
**Desired Qualifications***
+ Experience working in the Women's Birth Center or a Labor and Delivery unit.
+ One or more year's supervisory experience with large employee group.
+ Experience in developing staff education programs and materials.
+ Working knowledge of University policies, rules and regulations.
+ Associates Degree in related health science or an equivalent combination of education and experience is necessary
