Summary Statement
Join our team to play a pivotal role in the Mayor’s Office by providing advanced administrative support, project management, and quality assurance. You'll work closely with key leadership, ensuring smooth operations and fostering excellence in our city's administration.
The administrative coordinator performs advanced administrative support for key leadership positions in the mayor's office and performs varied and independent work related to office administration, project management, and quality assurance for the mayor’s office. Assists the chief of staff and deputy chiefs of staff with a broad range of administrative duties and supports the chief administrative officer in coordinating administrative functions for the mayor’s office. This position works under general direction.
This position is designated as At-Will.
Essential Functions
+ Coordinates day-to-day work, delegates tasks and sets deadlines for the assigned team. Provides guidance, direction and support for training and reviews work. Ensures effective collaboration with other teams. Listens to team members’ input and feedback and resolves any issues or conflicts.
+ Provides advanced administrative support to key leadership positions in the Office of the Mayor, including the chief of staff and deputy chiefs of staff. Anticipates and resolves issues independently, demonstrating resourcefulness and problem-solving skills to address challenges proactively. Manages calendars, requiring interaction with internal and external executives and assistants to schedule various business meetings. Creates daily and weekly agendas and ensures all materials needed are prepared and accessible.
+ Assists with departmental administration, policy and office management issues. Provides ongoing training and assistance to staff on various internal and external administrative procedures, workflow systems, technologies and general troubleshooting. Assists with planning and executing meetings and events. Anticipates current and future needs and provides information and solutions proactively. Manages department travel arrangements and events. Handles special projects requiring strong computer, administrative and problem-solving skills.
+ Organizes, creates, compiles and prepares internal and external documents and maintains city standards to ensure consistent quality and tone. Prioritizes strategic information and understanding of department data to develop comprehensive reports and communications to mayor’s office management, city staff and the public.
+ Acts as a subject matter expert on a wide array of department initiatives, groups and projects. Provides understanding on each project's scope, objective and status. Maintains, tracks and assists with the completion of deadlines for department initiatives.

Requirements
Required Knowledge, Experience, And Training
High school diploma or equivalent and nine years of progressively responsible experience in a public service reception and/or clerical support position representing a program with governing guidelines, providing front-line customer service combined with clerical responsibility for processes and systems, or an equivalent combination of education and experience.
Knowledge of:
+ principles and practices of executive-level administrative support
+ principles and practices of project management
+ public records management
+ computer usage including related software.
Ability to:
+ maintain the confidentiality of personnel and payroll records
+ prioritize conflicting needs
+ handle issues expeditiously and proactively and follow through on projects to successful completion
+ communicate effectively in the English Language at a level necessary for efficient job performance
+ perform all essential functions as assigned by an authorized employee, supervisor, and/or manager with or without reasonable accommodation.
Preferred Knowledge, Experience, And Training
Bachelor’s degree in business, finance, public administration or related field and twelve years of progressively responsible administrative experience.
Experience working in a governmental setting.
