The Administrative Coordinator I for the School of Kinesiology, reporting to the Dean, serves as the primary administrative support for the school, overseeing front office operations and supporting administrative functions with exemplary customer service.
This is a full-time, in-person position located on Tarleton’s main campus in Stephenville, Texas. Work hours are Monday to Friday; 8 AM-5 PM or as work requirements indicate. Some evenings and weekends may be required pending scheduled activities. Must have the ability to work remotely at the request of the university in times of inclement weather or other special circumstances.
Responsibilities:
60% Administrative Coordinator Support
Serves as the primary administrative support for the School of Kinesiology, reporting to the Dean and working closely with other administrators, coordinators and faculty.
Participates in the planning and execution of administrative operations. May serve as the office manager; training, supervising, and evaluating the work of student-employees and support staff.
Oversees the integrity and functionality of the front office area. Develops, evaluates, and ensures adherence to policies and procedures. Provides technical information regarding administrative procedures, services, or programs. Reviews documents for supervisor.
Applies, interprets, and/or assists in implementing rules, regulations, policies and operating practices.
Performs special analyses and project summaries.
Assists in routine and complex problem-solving for administrative matters. Responds to routine and non-routine information requests.
Works with student-information systems and business management information systems.
Screens and refers questions from students, and other visitors, and makes referrals to other university offices, providing an exemplary level of customer service while applying, interpreting, and communicating University policies and procedures.
Coordinates travel, as needed.
15% Purchasing & Personnel
Assists in all aspects of the Purchasing process while adhering to university policy.
Acts as a liaison between the School of Kinesiology and internal/external stakeholders.
Assists with all aspects of the faculty hiring process, including adjuncts, graduate assistants, and student workers.
Assists faculty with general onboarding, information systems, and routine tasks.
Coordinates meetings, seminars, and other special events and may provide on-site support.
15% Record Management and Maintenance
Maintains a variety of confidential fiscal, administrative, and academic records.
Assists in data entry related to semester course schedules and updates.
Manage and schedule classrooms, labs, and conference rooms as needed.
Maintains current inventory of office supplies, recruitment items, technology, and office contracts.
10% Other Duties as Assigned
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Two years of related experience.
Preferred Experience:
Four years of related experience.
Knowledge, Skills, and Abilities:
Knowledge of word processing, spreadsheet, database, and presentation applications.
Ability to multitask and work cooperatively with others.
Interpersonal and communication skills.
Planning and organization skills.
Salary
Commensurate with experience
Salary Range
The target base annual salary range is $41,000 to $50,761 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
