Administrative Coordinator
Description Job Title: Advancement Coordinator Job Summary: The Advancement Coordinator serves as the operational hub for all services in the office. The individual in this role implements administrative systems, procedures, oversees various projects, and handles additional tasks as assigned by the Chief Advancement Officer. Responsibilities: + Maintain and update all office prospect and donor records manually and digitally + Assist ensuring that gifts are receipted and acknowledged accordingly + Work with services to resolve issues and communicate with donors when necessary + Plan receptions and production of donor plaques, signage, and other donor recognition vehicles + Maintain office communications including phones, messages, mail, and deliveries + Collaborate with Chief Advancement Officer and Leadership Giving & Stewardship Manager on donor relations items + Coordinate with the events team to support the planning, implementation, and logistics of events and receptions + Coordinate communications and stewardship of alumni and past parent donors to increase engagement + Prepare donor materials for solicitation, marketing, stewardship as needed including print, digital, and social media + Attend committee meetings as necessary + Design and create the Annual Report + Update and maintain web page content + Work cooperatively with committees, volunteers, and other professional and support staff as required + Additional duties as assigned by the Chief Advancement Officer Requirements • Required Qualifications: + Minimum 3-5 years of professional experience in a similar position + Excellent communication, initiative, and organizational skills + Demonstrated proof-reading skills + Excellent computer skills + Ability to maintain absolute confidentiality + Flexibility, outgoing personality, and positive attitude + English fluency; Spanish skills are a plus + Excellent attendance and punctuality + Ability to work in a stressful environment and meet deadlines Physical Mandates and Work Environment: + Work primarily in a climate-controlled office environment + Occasionally work in outside weather conditions + Run multiple tasks concurrently + Attend events and meetings in and out of the office + Must comply with all state vaccination requirements and proof of eligibility for exemption + Assist with event setup and breakdown, including occasionally lifting 30-lbs. + Available to work evenings and weekends as needed.
