EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Concepts Function of Work: To perform a wide variety of clerical duties that requires independent judgment to accomplish in support of the staff members and/or operations of an organizational unit or program. Some discretion is required in the performance of these duties. Duties begin to expand in scope and complexity, and develop into departmental-program duties. Level of Work: Advanced. Supervision Received: General from higher-level clerical and/or supervisory personnel. Supervision Exercised: May supervise 1-2 lower-level personnel. Job Distinctions: Differs from Administrative Coordinator 2 by the presence of responsibility for clerical duties that involve greater scope and complexity, including initial program duties. Differs from Administrative Coordinator 4 by the absence of paraprofessional duties that involve a higher degree of specialization, complexity, and/or independent judgment. Examples of Work Actively learning, demonstrating, and then teaching how to categorize, label, scan documents. Managing large volumes of documents efficiently by organizing them into batches for scanning. Sorting, aligning, and preparing documents for scanning, including removing staples or paper clips. Assigning appropriate file names and indexing scanned documents according to established protocols for easy retrieval. Scanning all records (i.e. documents, maps, and pictures), and dividing operation records and historical records in a digital format on a server. Converting physical documents by scanning them and converting older digital formats into QCRPDF format. Ensuring high quality images are captured while maintaining accuracy and proper file organization. Checking scanned images for clarity, legibility, and completeness, adjusting scanner settings as needed to optimize image quality. Identifying and resolving scanning errors, such as skewed images or unreadable text. Performing tasks of document preparation, quality checks, and adherence to confidentiality standards when handling sensitive information. Performing many clerical procedures, including maintenance of all office records and management of scanning supplies.
