WSP is currently seeking a **Group Coordinator** to join our Property & Building Structures team, located in our **Calgary** office. The Group Coordinator is an integral member of the Structures team responsible for providing project and administrative support for the delivery of building development projects of varying size and complexity. We offer attractive pay, flexible work options, a great corporate culture, comprehensive and employee-focused benefits including virtual healthcare and a wellness platform as well as great savings programs, and a clear vision for the future. \# **WeAreWSP** **What you can expect to do here:** + Administrative support + Administrative support to the Prairies Structures team (meeting bookings, timecard questions, general company questions, order lunches, social events, update project archives, travel coordination, order office and site equipment, etc.) + Collaborate with national administrative support for the National Structures team + Provide onboarding at Calgary office (ordering equipment, orientation meeting, forward team information, general company questions, etc) + Format and proof project and team documents as required + Business Development support + Maintain list of open Opportunities and circulate to PMs for updates + Utilize WSP’s Project Wiki to provide and update CVs, project sheets and company information for proposals + Assist team members with proposal development (open opportunities in Oracle, draft fee letters and proposals, qualification documents, etc.) + Assist PMs and Directors with Business Development activities (research client opportunities, coordinate BD meetings / lunches, track market conferences, monitor team BD activities, etc) + Project Coordinator services + Ensure project information remains updated in Oracle throughout project life cycle + Assist PMs and Director with SharePoint site administration, document control, change orders, invoicing and client coordination + Assist PMs and Director with monitoring Accounts Receivable and update Project Accountant, Billers and Accounts Payable and Accounts Receivable. + Contact clients as requested by PMs for collections + Participate in project meetings to assist in coordination, scheduling and creation of meeting minutes + Formatting and assistance with project reports and specifications + National Practice and Focus area support + Assist in the planning of monthly events + Assist monitoring of practice team’s efforts and progress and updating practice leadership + Collaborate with Structures SharePoint site owner for document uploading and page creation. **What you’ll bring to WSP:** + 3-5 years experience with managing multiple different tasks concurrently + Strong interpersonal and communication skills - verbal, written, and ability to make visually appealing reports and documents. + Experience in mentoring, managing, motivating, and developing strong relationships + Strong initiative to develop better and more effective ways to deliver, create and modify materials for easy and persuasive evaluation by clients and partners + Confident use of Microsoft Word and Excel + Quick to learn new skills, tools and processes + Ability to present written and visual information in a compelling, concise and understandable manner to project stakeholders + Proven ability to monitor schedules and provide direction for managing improvements + Experience with ability to manage cash flow, effort and schedule will be considered an asset **WSP** is one of the world's leading professional services firms.
