The Administrative Coordinator is part of the Academic Affairs Department at Vanderbilt University School of Nursing and is a key individual contributor responsible for processing adjunct appointment letters, assisting with various state and organization reporting forms/renewals, planning, coordinating, and executing various activities of support for the Senior Administrative Officer in Academic Affairs. This position will independently manage these duties among other job responsibilities as assigned on an as needed basis. This is a full time, hybrid position.

Key Functions and Expected Performance:
The following functions and performance should be managed with ease and professionalism. The responsibilities of this job fall into four (4) main categories: Faculty Affairs, Compliance, Operational Support, and Document and Business Processes.
1. Faculty Affairs
• Ensure that institutional policies in the recruitment of adjunct faculty are followed.
• Regularly communicate between program directors, academic leadership, and adjunct faculty.
• Support and manage the academic processes related to hiring adjunct faculty.
• Establish documented guidelines for handling confidential information and maintain those records.
• Arrange interviews.
• Produce, disseminate, and track adjunct appointment letters each semester.
2. Compliance
• Assist the Director of Compliance and Regulation with out-of-state submissions.
• Assist with gathering documentation based on state requirements and/or submitting required documentation.
• Organize data and prepare documents for submission.
3. Operational Support
• Oversee the publication of the pre-nursing undergraduate handbook annually.
• Review the handbook and distribute it to appropriate faculty and staff for editing.
• Work with VUSN Creative Services to update the handbook.
4. Document and Business Processes
• Process various forms required for state reporting and annual organization membership renewals.
• Assist the Senior Administrative Officer with various tasks and duties, as assigned.
• Assist the Senior Program Manager in the MN program with various tasks related to NCLEX documentation and gathering data for schedules.
Supervisory Relationships:
• This position has no supervisory responsibility. This position reports administratively and functionally to the Senior Administrative Officer.
Experience and Qualifications:
• Bachelor’s degree preferred, but may substitute experience in lieu of a degree
• Two to three (2-3) years of experience in higher education, preferred
• High degree of comfort using technology, required
