Administrative Clinical Scheduler, Department of Emergency Medicine

The Department of Emergency Medicine is seeking an individual interested in joining our administrative support team as a HYBRID/REMOTE Administrative Clinical Scheduler to join their team at the University of Virginia (UVA). The Administrative Clinical Scheduler will play a crucial role in managing and coordinating appointments, schedules and communication within the department. The Department of Emergency Medicine supports UVA Medical Center as a Level I Trauma Center.  UVA Emergency Department cares for over 70,000 patients per year, has 80 private patient rooms, 45,000 square feet, and designated treatment areas for pediatrics, trauma/resuscitation, and behavioral health. The ED includes adult and pediatric services, active air and ground transport programs, and is supported by a poison control center.  The Administrative Clinical Scheduler will report to the administrative leadership within the Department of Emergency Medicine. 

Responsibilities: 

Schedule clinical coverages for the emergency department for attendings, fellows, residents, advanced practitioners, and others as directed to ensure compliance with clinical needs as well as alignment with educational, operational, research, and various other scheduling requirements. 

Professionally review and respond to correspondence using Microsoft Outlook and other designated means of communication to facilitate scheduling and support needs. 

Maintain electronic files and produce reports as requested by leadership for records of request and responses for scheduling, coordinating, and collaborating. 

In addition to the above job responsibilities, other duties may be assigned. 

 

Qualified candidates must have a high school diploma and four years of relevant experience, bachelors may substitute experience.  Ideal experience in clinical scheduling using Shift Admin Software, QGenda, and other systems is preferred.  Preference will be given to candidates with experience in clinical scheduling, academic medicine, and/or online scheduling. 

Qualifications:  

Demonstrated experience working collaboratively with team members and external colleagues. 

Strong organizational skills with the ability to manage and organize information electronically. 

Clear and effective written and verbal communication skills. 

Strong problem-solving abilities. 

Proficiency in Microsoft Office, cloud-based scheduling software, and virtual meeting systems.

This position may require both stationary work and the ability to travel across UVA Medical Center. 

 

This position offers flexibility in work arrangements and can be based remotely or in a hybrid model. Candidates should have reliable access to the internet and a suitable work environment for remote work. For hybrid arrangements, periodic in-office presence may be required for team collaboration, meetings, or other business needs. 

This position is a restricted position and is dependent upon project need, availability of funding and performance. This is a Non-Exempt level, benefited position.  For more information on the benefits at UVA, visit hr.virginia.edu/benefits.  Anticipated Hiring Range: $40 - $48k commensurate with education and experience.
