Applied Research Associates, Inc. is seeking an energetic, well-organized Administrative Assistant for our Baton Rouge, LA office to support a multidisciplinary team that provides engineering and software development services. The qualified candidate will have 2-3 years of previous experience as an administrative assistant. The Administrative Assistant will provide support to ensure efficient operations of the office. The successful candidate will be responsible for performing a wide variety of administrative support tasks in support of a multidisciplinary team.
This is an on-site position, which does not allow for remote work.
What you’ll do as an Administrative Assistant
Provide administrative support to the technical staff, including: Answer incoming telephone calls. Meeting preparation and support (i.e., teleconference, food, visitor log) Greet and check-in visitors. Order and manage office supplies. Submit and coordinate facility work orders. Manage office purchases, credit card purchases and Accounts Payable Prepare required documentation and obtain purchase approvals. Coordinate Career Fair Career fair registrations and marketing product support. Arrange travel for the division. Book travel, process employee travel expense reimbursements. Reconcile monthly credit card statement for office purchases and travel. Other general administrative duties as assigned.
Administrative Assistant Position Requirements
Must be a US Citizen. Must be able to obtain a DoD security clearance. Must have a valid driver's license. Requires High School diploma or equivalent and 2-3 years of related experience. Ability to multi-task. Must be process oriented and flexible, being able to handle constant change and interruptions with a proven record of increased productivity. Excellent verbal and written communication skills with strong attention to detail Must be able to utilize resources in order to meet Self-Starter who takes initiative Basic knowledge of Microsoft Word, Excel, Power Point, and Outlook Strong Interpersonal skills Excellent organizational and time management skills Ability to keep sensitive information
