Job Summary

We are seeking an individual with a high level of interpersonal skills to handle sensitive and confidential information and situations while demonstrating poise, tact, and diplomacy. Candidates must possess the ability to interact and communicate with a diverse community of faculty, students, and staff. The Administrative Assistant will provide support to multiple departments as needed by those departments and approved by the Vice President for Academic Affairs.

 

Essential Duties & Responsibilities Maintain all full-time and adjunct faculty data (current and historical). Distribute faculty and adjunct contracts and letters of employment. Coordinate faculty requests for summer stipends and other requests. Provide administrative support for the Vice President by producing letters and reports relating to mid-term grades and probation/suspension, as well as other matters. Assist faculty, staff, and students who come to the office. Assist in preparing and distributing course evaluation materials. Scan course evaluations and complete related materials. Other duties as deemed necessary. Required Knowledge, Skills and Abilities Prepare statistical analysis of course evaluations for the Vice President. Calculate student/faculty ratio using fall term data. Delegate work to work-study students, as needed. Produce various reports including the following: Faculty due for sabbaticals, mid-tenure review, promotion, and tenure. Faculty requests for committee assignments. Faculty nominations for Promotion & Tenure, Advisory, and Development. Committees and appointments to Curriculum & Standards Committee. Minimum Qualifications Proficient in using Microsoft Word and Excel. High school diploma or equivalent required, some college preferred. Three to five years of general secretarial experience required. Must possess extensive knowledge of windows-based word processing, spreadsheets, and presentation software. Must be a proficient typist with a minimum keyboarding speed of 50 wpm. Must have superior organizational skills and the ability to prioritize. Must have excellent communication skills.
