The Administrative Assistant provides administrative support to the Department. Duties include but are not limited to maintaining calendars, scheduling meetings, providing general administrative support, handling complex and confidential projects, providing basic financial analysis, and other general administrative duties.
Job Description
Key Outcomes:
Completes special project assignments which may include compiling information, report generation, spreadsheet compilation and analysis, and maintenance of necessary records and files.Handles scheduling for the department as requested, including meeting participant notifications, reservations, supplies, and food arrangements.Responsible for producing and managing various documents utilizing MS Office software, including minutes, memos, presentations, reports, spreadsheets, correspondence, etc. daily. May include managing SharePoint for applicable department.Responsible for managing and maintaining filing system, overseeing operation of all office equipment, managing and prioritizing mail including returned mail ordering supplies, and managing office expenses.Serves as a liaison between department and Shared Services/ mailroom.Coordinates of onsite visits from vendors or regulatory agencies.Responsible for making travel arrangements.Is familiar with company policies and procedures.Other general administrative duties specific to the department as needed including assisting other assistant/ non-clinical roles.Education/Experience:
High school diploma or equivalent required. Post-secondary education preferred.2+ years of relevant clerical or administrative experience.Experience in a health care organization preferred.Skills/Knowledge/Competencies (Behaviors):
