Administrative Assistant (Part time)

PURPOSE OF THE POSITION: To manage the front desk operations of the clinic.

I. SPECIFIC RESPONSIBILITIES:    

Greet and check clients’ in/out for appointments, collect co-pays Coordinate and schedule appointments Answer phones, respond to emails/faxes Answer clients’ queries and ensure quality customer service Update and maintain client records; document in EHR; data entry Assist patients with initial paperwork Work with insurance companies for authorization and billing. Work collaboratively with clinic staff Performs all duties as assigned

III.   WORKING CONDITIONS: 

This position is office based, evenings and weekends Administrative Assistant may and will be required to provide coverage for other programs as needed.

 

IV. SCOPE OF RESPONSIBILITY:

This position performs a wide variety of routine clerical/administrative task for a mental health clinic. Must be able to manage clients and respond to crisis as needed with the support of the clinicians on site.

 

V. QUALIFICATIONS: 

One year of experience performing general clerical work/administrative task. Possession of a High School diploma or G.E.D. Certificate. Understanding of managed care or Medicaid/Medicare, preferred. Experience with Microsoft Office for Windows applications (word, excel, outlook, etc.) required. Database management experience required. Tech savvy & proficiency in general office equipment operation required. Communicate clearly and concisely, both orally and writing Learn office methods, rules, policies, ordinances and resolutions Understand and carry out oral and written directions Excellent organizational and problem-solving abilities. Ability to work independently and in a team setting. Ability to effectively manage multiple tasks. Customer service-oriented attitude.
