Administrative Assistant III
Position Summary:

Under general supervision, performs a variety of routine and non-routine tasks associated with the processing of claims and the maintenance of associated records.

Key Responsibilities:

Relying on experience and knowledge, the Claims Assistant III is responsible for accomplishing the following assignments. These assignments reflect substantial variety and complexity and are broad in nature.

Perform initial and ongoing claims processing including setting up claims files, performing data entry, scanning documents, and preparing loss runs.Respond to and contact claimants, insured, and other related parties to obtain and relay basic information concerning the claim process.Draft, prepare, and process various types of correspondence including acknowledgement of new claims, coverage position letters, indemnity/expense checks, etc.Assist other claims personnel as needed during the claims process and ensure adherence to company claims policies and procedures.Perform close activities and management reporting at month end or on an as-needed basis including reserve change entry, financial, and various reports for assigned company entities.Assist in special projects such as file reviews, statistical studies or workflow analysis.May reconcile claim file information or prepare reports.Perform other general clerical duties such as copying, faxing, filing, answering phones, and operating departmental office equipment.

Follow work plans, established timelines, and pre-defined goals for assigned work.Meet commitments on deadlines.

Possess strong customer focus and high service level relationship with clients.

Cost Management

Perform work thoroughly in a cost-efficient manner and at a high productivity level.Utilize company resources effectively.

Business Controls and Policies

Comply with all corporate policies and procedures.Take all reasonable steps to safeguard company assets against waste, loss, unauthorized use, and misappropriation.Report any breakdown in controls to a supervisor or manager.

People Management

No people management responsibilityMay orient, train, assign, or review the work of less experienced employees.

Position Knowledge, Skills, and Requirements:

Education

High school diploma or equivalent. Associate’s degree preferred

Experience

Minimum of five years of relevant and progressive administrative, clerical that includes at least two years in insurance claims

Other

Possess and have ability to apply knowledge of principles, practices, and proceduresSolid written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacyAdvanced organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneouslyIntermediate proficiency and experience using Microsoft Office package (Excel, Access, PowerPoint, Word)

Working Conditions and Physical Demands:

Overtime hours may be required to fulfill job responsibilitiesMay require a valid driver’s licenseMay be required to remain stationary for extended periods of timeMay be required to move up to 10 poundsMust be able to operate a computer and other devicesClose vision and ability to adjust focus, such as required to read a computer screen
