Position Title:                    Administrative Assistant II

Department:                     Turner School for Entrepreneurship & Innovation

Reports to:                        Executive Director

Appointment:                    Full-Time; 40 hours per week/12 months per year

Pay Rate:                           $18.00 per hour

Reporting to the Executive and Academic Director of the Turner School of Entrepreneurship and Innovation (TSEI), the Administrative Assistant II provides direct professional support to the Executive Director and serves as a secondary support to the managing and associate directors as needed. The Administrative Assistant II is the primary point of contact and liaison for both internal and external parties on all matters relating directly to the director. The Administrative Assistant II must be proactive, mission- driven, resourceful, able to prioritize and balance multiple projects, and exercise good judgment when making decisions. The successful candidate should be able to work independently on a project from start to finish, work collaboratively with others, and complete projects within specified deadlines. Given the nature of the role, the administrative assistant must use discretion with confidential information. 

Duties and Responsibilities include (but not limited to): 

Office Management and Communication

Liaise with internal offices, such as those of the President and Vice Presidents of the university.  Liaise and communicate directly with internal and external advisory boards, donors, community business members, executives, alumni, accrediting bodies. Follow up on contacts made by the director and support ongoing relationships.Coordinate and communicate with internal offices and global partners for the Empowering Women Globally program that operates in India and Brazil.Assist the director with confidential, sensitive matters and maintain confidential files and documents.Assist with fiscal operations including liaison with vendors, processing of invoices, purchase orders, requisitions, reimbursements, check requests, purchasing and travel card allocation and processing, and account reconciliation.Manage the TSEI funds and complete required financial reporting.Develop and document office processes and procedures to improve efficiency and effectiveness.Manage and oversee a variety of special projects as they arise which may include researching information and gathering and synthesizing various data. Prepare reports as necessary utilizing advanced features of word processing, spreadsheets and database software.Manage the director’s internal and external communication, including social media and online presence as requested.Manage issues that may be escalated from other external and internal constituents.Coordinate office space logistics including handling facilities requests.

Administrative Support

Assist the director with a broad variety of administrative tasks, including but not limited to managing the director’s calendar by organizing meetings and appointments including detailed executive-level documentation.Compose and manage correspondence that may be confidential in nature.Compile documents for executive-level meetings and presentations, prepare PowerPoint presentations.Manage and oversee a variety of special projects, including two annual student competitions, distinguished speaker series, and others as they arise.Administrative supervision of student assistants as assigned.Attend meetings and take minutes as requested.Assist with receiving and responding to visitors and in person, telephone and email inquiries as needed.Other duties as assigned. 

Qualification Requirements:

Bachelor’s degree.Experience as administrative support or similar role.Candidates must be able to work legally in the United States. No relocation package or visa sponsorship is available.

Preferred Qualifications:

Previous experience in a higher education support position.

Mental/Physical Requirements:

The selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.

 To facilitate work with global female entrepreneur initiative, some evening and early morning meetings due to time differences across the three work locations (India, Brazil, USA) as well as occasional weekend work may be needed.
