Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Bachelor’s degree preferred or High school diploma/equivalent with years of experience in relevant field.
+ Knowledge of university/academic policies and procedures.
+ Experience in a busy customer service setting.
+ Working knowledge of MS Office suite, sorting and filing (paper and electronic documents), looking up data in student information system.
+ Experience prioritizing workload and completing assignments with tight deadlines.
+ Experience preparing clear, concise, and grammatically correct memos, reports, and letters.
+ Ability to work as a team member and interact appropriately with others.
Preferred Qualifications
+ Experience in education, higher education, or related field.
+ Experience and noted proficiency in Microsoft Excel, including functions such as VLOOKUP , pivot tables, conditional formatting, understanding of data validation and basic troubleshooting in Excel.
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit. This position is in-person on the San Marcos campus.
Job Duties
+ Serve as support to front office to greet, screen and route customers
+ Use independent judgment to effectively prioritize workload while working in a team-oriented, customer service-based environment.
+ Manage clinical teaching placements process and ensuring student eligibility and placement.
+ Ensure accuracy of placement data for state accountability reporting.
+ Maintain communications with partner districts for placement and clinical teaching issues.
+ Plan and process travel requests and expense reports for 70+ student teacher
supervisors each semester.
+ Support distribution and formatting to large groups including preparing emails and correspondence. ie. Newsletter.
+ Compose and proofread correspondence and forms. Supporting written communication for the office.
+ Coordinate and manage student registration with the Registrar’s office.
+ Responsible for updating content and managing department website.
+ Responsible for ensuring updated MOUs.
+ Manage Field Place Observations process and ensuring student eligibility and placement.
+ Present OEP processes to students in classrooms and events. Perform other duties as assigned.
