The Administrative Assistant for the Illinois Campus works closely with the Program Director, Associate Program Director, Academic Coordinator, Clinical Coordinator, Culminating Coordinator and Remediation Team to help orchestrate all phases of the Program.

Responsibilities

Provides administrative support to the PA Program, but not limited to the following:

SchedulingWorks closely with the Coordinators in scheduling instructorsCommunicating with instructors on date and time availability each semesterCreating a monthly calendar for the studentsCoordination/scheduling of various PA Program Committee meetingsAssists with general correspondence, surveys, funding applications, scheduling appointments, & self-study reportsPrepares material for distribution to students; such as examinations if necessary, room availabilityRecords MaintenanceStudent Files – academic/clinical, correspondenceOrganize and maintain all course lecture material and assessments in BOXSyllabiMaintenance and Creation of Test files – Examsoft, PAEA, End of Rotation Exams, Etc.Evaluations Bio/Sketch- Health FormsEnsure students have updated health forms/Immunizations through EXXATEnsures forms are reviewed and in compliance.Typing and FilingCorrespondenceMeeting MinutesExaminationsEvaluations FormsLecture OutlinesEmails and CallsResponds to inquiriesRecords and delivers messagesOther duties may include:Proctoring of Exams and Room RequestsDownloading lectures and syllabi to CanvasCoordinate Exxat portal Qualifications Education/ ExperienceHigh School Diploma/GED Eqvlnt.Associates Degree Preferred.2 or more years’ experience with administrative work, preferably in educationAssociates or Bachelor’s Degree recommended

Strong interpersonal skills are required both written and oralWell organizedAble to prioritize tasks and manage multiple and varied tasks with frequent high levels of urgency and sensitivityMust be able to work collaboratively and effectively with colleagues in a team environment.Proficient knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, & ZoomRequires ability to manage multiple and varied tasksTimely response to emails (within 24 hours)Learning Management Systems such as Canvas®, Examsoft® is preferred
