Administrative Assistant Job Department/School Residential Life and Housing FT/PT/Temp Full time Location Garden City, N.Y. Administrative Assistant Residential Life and Housing JOB SUMMARY: Provide administrative support for the Office of Residential Life and Housing. This includes assisting with inquiries in person and over the phone, scheduling appointments, training student workers, and supporting daily operations. The Administrative Assistant plays a key role in maintaining office organization and efficiency, ensuring smooth communication and record-keeping within the department. SALARY INFORMATION: In compliance with New York’s Pay Transparency Act, the annual base salary for this union position is $42,508. REPORTS TO:Director for Residential Life and Housing RESPONSIBILITIES & DUTIES: + Compose and type standard correspondence, and may draft complex communications. + Screen telephone calls and visitors. + Schedule appointments and travel itineraries. + Make arrangements for meetings and conferences. + Organize and maintain correspondence and records; follow-up on pending matters. + Assist with complex issues, often of a confidential nature. + Communicate and/or coordinate Supervisor’s instructions with various individuals and/or departments. + Prepare reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources. + Prepare materials needed for conferences, correspondence, meetings, telephone calls, etc. + Maintain filing and record system, including confidential files. + Take and transcribe meeting minutes of conferences and meetings. + Interact frequently with students, parents, members of the local community and institutional partners. + Perform other job-related duties as assigned. REQUIREMENTS: (Knowledge, Skills and Abilities) + Good ability to prioritize workload according to volume, urgency, etc. + Good organization skills and attention to detail. + Good interpersonal skills. + Good ability to handle multiple tasks effectively and accurately. + Good ability to be discrete and maintain high confidentiality on a wide range of issues. + Good verbal and writing skills. + Good knowledge of University policies and procedures. + Good computer skills for using Windows, Microsoft Word, Excel, Administrative Systems and E-mail. Physical requirements : + Requires frequent typing for extended periods of time. EDUCATIONAL/EXPERIENCE REQUIREMENTS: + Associate’s degree in business or secretarial skills is preferred. + Three years of related experience is required. HOURS: + Monday - Friday, 8:30am - 4:30pm. + Hybrid options may be considered on a case-by-case basis with prior approval from the Director of Residential Life and Housing + This role may be asked to work during critical Residential Life events that fall on weekends, such as move-in, move-out, and open houses.
