As the Administrative Assistant, you will support the Inside Sales & Order Entry Supervisor, collaborating closely with the sales and training teams to ensure seamless coordination of customer-training events and sales meetings. You will be onsite, managing logistics, maintaining schedules, and assisting with a variety of administrative tasks that contribute to a positive guest and team experience. Your role involves interacting with internal stakeholders, customers, and visitors, ensuring all events and activities run smoothly and efficiently.

You Will:

Coordinate customer-training events at our National Learning Centers, handling travel, accommodations, transportation, meals, and entertainment.

Support the planning and execution of Regional and National Sales meetings, including contracts, amenities, and on-site logistics.

Manage customer registration and follow-up using third-party software, and maintain event calendars, schedules, and budgets.

Prepare welcome packets, nametags, and training materials, and handle setup/teardown of training centers and conference rooms.

Greet visitors, serve as the main point of contact during training sessions, and ensure a positive guest experience.

Order office and training center supplies, assist with weekly expense reports, and maintain inventories of promotional items, snacks, and beverages.

Train and support representatives on completing their portions of the PVI Submittal Report, then prepare and distribute the report monthly to the Leadership Team.

Answer the Sales line and PVI’s Main Switchboard as needed.

Extract sales data and generate reports on business performance by representative, product, market/segment, and channel.

Update the Top Ten Representative report monthly and maintain a list of territories by county and zip code.

Perform other assigned duties and provide front desk coverage when necessary.

You Have:

A bachelor’s degree or relevant work experience in a related field.

Excellent time management, organizational, and multitasking skills, with the ability to manage multiple events and deadlines simultaneously.

Proven ability to work efficiently, proactively, and professionally in a fast-paced environment.

Strong written and verbal communication skills and a professional demeanor.

Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).

Ability to quickly learn and operate online registration and marketing platforms.

Strong attention to detail, listening skills, and a willingness to adapt to changing situations.

Ability to work effectively both independently and as part of a team, ensuring a positive and productive environment.

Physical Requirements:

While performing the duties of this job, the employee is frequently required to walk, talk, and/or hear. The employee is occasionally required to stand, sit, and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include: close vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment:

Work in both office and manufacturing environment. May occasionally be required to perform job duties outside the typical office setting.
