This role is responsible for providing clerical and administrative support to our internal customers and acts as a liaison to the Community Managers and homeowners primarily, but will also occasionally interact with vendors, board members and committee members, as well as staff at Associa and within the branch office.

Job Duties:

\n\nField and respond promptly to the majority of homeowner inquiries via phone, e-mail, work order, letter, and/or in person\nInteract with vendors and assist with addressing emergency requests as necessary\nUpdate notes within homeowner accounts of all conversations/correspondence with homeowner\nMaintain property files and unit files\nReceive, process and track Architectural Review Applications from homeowners\nAssist Community Manager with requests for proposals, repair quotes, insurance notification lists\nAssist in preparing homeowner CC&R violation letter and communicate results of hearings to homeowners within the time frames set by state statues or governing documents as needed\nAssist homeowners with Associa corporate programs (website, portals, etc.) in accordance with Community Manager direction, client enrollment, and local office protocol\nParticipate in Associa training including Associa University webinars, etc.\nOther duties as assigned\n\n Requirements\n

Knowledge and Skills:

\n\nKnowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level\nKnowledge of communities, property, real estate and homeowners associations\nKnowledge of the role of the association board, the Community Association Manager, and how those roles interface with the requests of homeowners\nKnowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level\nKnowledge of conflict resolution techniques at a proficient level\nProfessional communication skills (phone, interpersonal, written, verbal, etc.).\nProfessional customer service skills\nSelf-motivated, proactive, detail oriented and a team player\nTime management and time critical prioritization skills\n\n

Education and Experience:

\n\nHigh School Diploma or GED Required\nAssociates Degree strongly preferred\nBachelor's Degree Preferred\nAt least one year of Customer Service experience is required\nAt least one year of Community Association Management or relevant experience is preferred\nExperience with a high call volume is preferred\n\n\n
