Administrative Assistant

PRIMARY FUNCTION: Primarily responsible for providing administrative clerical support for assigned manager, director or department.

RESPONSIBILITIES AND TASKS:       

Independently, manage and prioritize information flow (i.e. phone calls, emails, mails, etc.) and disseminate and/or relay information as appropriateManage calendar for manager or department, arranging travel, meetings, events, etc. effectively and efficiently utilizing company resources and timeMaintain files, accurately filing documents in a timely mannerPrepare correspondence, documents and presentations as requestedAssist with the collection, compilation and recording of information; prepare reports as neededManage requisition and purchase process as related to department, monitoring requisitions and purchase ordersPerform additional relevant duties as assigned

SUPERVISORY ROLE:

None. This is an Individual Contributor role and exhibits these competencies:  Functional/Technical Skills, Action Oriented, Problem Solving, Learning on the Fly, and Interpersonal Savvy

EDUCATION and CERTIFICATIONS:

High School diploma or equivalent

EXPERIENCE AND SKILLS:

Minimum two (2) years relevant administrative support experienceStrong customer focus with the ability to communicate with internal and external customers in a timely and professional mannerMust have exceptional communication, both verbal and written, attention to detail and the ability to resolve issues efficiently and effectively Proficient computer skills in Microsoft Suite (Word, Excel, Powerpoint) applicationsSelf-starter who demonstrates strong initiative and sense of urgency, with the ability to work in a fast paced environmentStrong organizational skills with the ability to prioritize and manage multiple projects while maintaining attention to detailMust possess a strong customer-centric attitude, high energy level and a strong sense of urgency

SAFETY REQUIREMENTS:

Follow and ensure others follow departmental and company safety policies and programsWear required protective equipment in all areas where mandatory

PHYSICAL REQUIREMENTS:

Frequently sit for long periods of time utilizing office equipment and/or computers.Long periods of time requiring intense concentration in an open area office spaceOccasionally lift up to 20 lbs.
