Administrative Assistant - Wilmington, DE


IFF has an exciting opportunity for a full time Administrative Assistant in the Pharma Solutions business located in Wilmington, Delaware, or Midland, Michigan. Reporting into the R&D organization.

 

This role will support a cross-functional teams spanning a variety of functions including leadership, scientists, laboratory personnel, customer-facing specialists, and more. This role will be on site in Wilmington or Midland with flexibility to work from home on occasion.  Relocation is not available for this role. The ideal candidate is task oriented, organized, has a high attention to detail, is able to prioritize task lists, and has good time management skills to complete actions on time. Additionally, this person must be able to communicate and work with a diverse group of people and personalities. 


For this role key responsibilities include but are not limited to:

 

Event coordination, both social and non-social (such as large group work meetings) on site and virtually Vendor management – Liaise with vendors for procurement and service, i.e. Office supply management such as maintaining stock of paper, pens, etc. Laboratory supply management in collaboration with the technical team Coordinating with site services and site management for upkeep, operation, and maintenance of facilities Capital and expense support – ensure adherence to company policies for Purchase order requisition management and interfacing with accounts payable. Capital procurement execution Building Safety Action Committee Gatekeeper – capturing meeting minutes, action items, and ensuring proper follow through Meeting support – prepare agendas, set-up and manage meeting platforms, i.e. Calendar management for team and leaders Running meetings for R&D leaders Making business travel arrangements for team members General team assistance IT Support Coordination – assist basic troubleshooting and coordinate with IT for technical needs, i.e. Working in Microsoft Office Applications including Word, PowerPoint, Excel and Outlook File share management via Microsoft Teams Job Requirements

Qualifications:

 

3-5 years of administrative assistance experience Computer skills including Office Applications High-school or college degree Ability to work in person 40hrs/week Ability to work and communicate with a diverse team US Citizen or legally able to work in US
