The Role: Reporting to the Deputy Executive Director, the Administrative Assistant is responsible for ensuring the seamless execution of various administrative functions at the 14th Street Y, which includes supporting the executive team in scheduling corresponding and logistics as well as overseeing aspects of inventory and ordering, among other tasks. The Administrative Assistant gives logistical support for the successful, uninterrupted operation of the 14th Street Y. + Collaborates with all 14th Street Y departments + Partners with internal teams and external stakeholders, including members, donors, vendors and programmatic partners + Interfaces with the Executive team of the Educational Alliance + Communicates with external funders and partners Responsibilities: 14Y Administrative • Schedule meetings for the Executive Director and Deputy Executive Director, including internal and external participants as needed • Reconcile monthly credit card expenses for Executive Director and Deputy Executive Director • Help plan and execute logistical support for 14Y internal events including staff trainings and celebrations, and external events as needed to support the 14Y Executive team • Manage office supply inventory and place orders to keep essentials stocked while maintaining the supply budget • Maintain organizational and cleanliness standards of common areas in the building (kitchen, copy areas, etc.) • Maintain good relationships with the Vendor Management department and have regular contact with them to get payments for our vendors submitted and paid in a timely manner • Work closely with Facilities team to ensure all contractor invoices are received, cross-checked for errors, and submitted • Use Nexonia to submit invoices and manage a check priority list that is updated and sent weekly • Utilize organized information management techniques for data management and recordkeeping Aquatics Administrative • Monitor Aquatics inbox and phone lines to communicate with members to schedule private swim sessions and answer questions about Aquatics Programming Requirements: + At least 3-5 years' experience managing an office with multiple departments or other relevant experience outside of an office setting + Extremely organized and able to multi-task + Knowledge of Microsoft Office programs (ie: Word, Excel, etc.) required + Willingness to get fire department certifications for building and event compliance + Comfortable and able to speak with Executives both internally and externally + Ability to efficiently manage time, self-direct work, and ask for help if needed + Availability to work some evenings and weekends when needed for rental management + Willingness to be part of a team, working together to make things better and more efficient + A customer service-oriented approach to work with external stakeholders and 14Y and Educational Alliance staff Role Key Competencies: • Planning / Organization • Technology / Systems Management • Communication/Professionalism • Time management • Innovation Benefits: + Competitive Salary + Generous PTO Policy + Competitive Salary + Medical, Dental, Vision and Life Insurance + Pension Plan + 403(b) Retirement Plan + Discount Perks for Movies, Broadway Shows, and Amusement Parks, etc. + Free Gym Membership to our Manny Cantor Center 14TH ST Y Fitness Center + Discounts to programs at Educational Alliance Limitations and Disclaimer The above job description is meant to describe the general nature and level of work being performed; it is not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required for the position EEO Info Educational Alliance is committed to workplace diversity and inclusion.
