Administrative Assistant Job Description We are seeking a dedicated Administrative Assistant with a keen eye for detail and strong organizational skills to support our team. The ideal candidate will have experience in office environments, preferably within the construction industry, and possess excellent communication and customer service abilities. Responsibilities + Perform data entry from facility management into QuickBooks. + Utilize QuickBooks to generate, customize, oversee, and monitor invoices. + Assist in the documentation and tracking of invoice submittal statuses using multiple online platforms. + Maintain multiple hard copy files and ensure proper statuses are being used. + File documents throughout the day and arrange electronic files efficiently. + Address and respond promptly to inquiries from various clients. + Follow up on multiple tasks and understand and meet deadlines. + Communicate effectively in a team environment. + Take notes during meetings and training sessions for future reference. Essential Skills + Minimum of 1 year office experience, preferably in the construction industry. + Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. + Strong computer skills and general computer savvy. + Excellent customer service abilities. Additional Skills & Qualifications + Experience in an administrative role, preferably in the construction industry. + QuickBooks experience is a plus. + Recent high school, college, or vocational school education. Work Environment The position operates in a dynamic office setting where teamwork and communication are key. The role involves regular interaction with team members and clients, requiring a professional demeanor and a customer-focused approach. Dress code is business casual. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
