Position Purpose The Administrative Assistant is a key member of LONG’s HVAC Equipment division, responsible for coordinating multiple bid processes and managing a high-volume bids inbox. This role involves reviewing bid requests from sales staff, subcontractors, and general contractors, as well as downloading relevant documentation and entering bids into project management software to ensure deadlines are consistently met. Success in this role requires the ability to thrive in a fast-paced environment, effectively juggle multiple tasks, and maintain a high standard of accuracy and attention to detail. In addition, this position supports the delegation of responsibilities and provides training for corporate administrative assistants. Pay Range: $22 - $25 per hr. plus potential profit share. The essential functions of this position include but are not limited to: Develop a strong understanding of construction and engineering workflows and apply them consistently in day-to-day operations.Monitor, prioritize, process and manage bid requests received via the Bids Outlook inbox, ensuring timely processing, delegation, and follow-up with salespeople, subcontractors, and general contractors.Communicate directly with customers to request plans, specifications, addenda, or clarifications related to bid submissions.Update Construction Equipment (CE) records as needed, including uploading addenda, revising bid dates, updating bidder lists, and incorporating changes to plans or specifications.Train corporate administrative assistants on foundational bid processes and delegate appropriate tasks to support overall workflow efficiency.Monitor the LBE Outlook inbox, flag relevant emails for action, and accurately manage shipping notifications, invoices, factory correspondence, and spam.Coordinate the creation and promotion of the Coffee Break Webinar Series using Canva, MailChimp, WordPress, and YouTube.Design, generate, and distribute the monthly Hydronics Newsletter via MailChimp.Update and maintain CE accounts, contacts and marketing distribution lists.Balance job assignments in CE based on guidance from the Operations Manager.Organize and manage manufacturer literature and update corresponding literature modules in CE.Maintain and organize COBE Training Materials using OneNote.Assist with customer appreciation events and manufacturer product shows, including preparation, hosting, setup, and takedown.Provide support for customer-facing lunch and learn sessions in coordination with sales staff. Other duties as assigned. Qualifications 1 year of customer service experience. Self-motivated, adaptable, and capable of prioritizing work effectively to meet deadlines.Proven ability to manage multiple tasks simultaneously in a fast-paced environment.Strong organizational skills with exceptional attention to detail.Excellent customer service skills, with the ability to maintain professionalism and a positive attitude under pressure.Effective communication skills, both verbal and written, for engaging with customers and internal teams.Proficiency in Microsoft Office Suite and Teams. Preferred Qualifications 2 years of office related clerical/administrative experience or 1 year of construction bid coordination experience in an office environment.Familiarity with Microsoft Office applications, Adobe Acrobat, and Bluebeam software.No candidate will meet every single desired qualification.
