Position classification Onsite -- Job duties and expectations require employee to be regularly scheduled onsite. + Description + Benefits + Questions What Success Looks Like In This Job The Administrative Assistant will perform a wide variety of responsible and complex administrative, financial, and clerical duties in support of the Parks, Open Space and Cultural Arts Department and CSU Extension. The individual in this position will provide customer service support, budget and accounting functions, draft correspondence, and reports, perform data entry in a variety of data bases, and provide information and assistance to the public regarding work activities and serve as the main front desk receptionist. Examples of Duties for Success + Provide excellent customer service to all who enter the Parks Administration Building or call on the telephone. + Perform a variety of administrative support duties, such as filing, copying, proofreading, scanning, and other tasks for Parks, Open Space and Cultural Arts and CSU Extension. + Serve as the primary telephone/ front desk receptionist for Parks, Open Space and Cultural Arts and CSU Extension. Responsible for all walk-in clients and be able to assist them to the appropriate staff utilizing all available resources. Screen office and telephone callers; escalate complaints to appropriate staff and requests for information on regulations, procedures, systems, and precedents relating to assigned responsibilities. + Responsible for the timely opening and closing of the building. + Responsible for appropriate signage regarding building closures. + Answers questions from internal and external customers regarding services provided by Adams County, Parks, Open Space and Cultural Arts and CSU Extension. + Provide support/backup assistance to the Administrative Coordinators. + Scan coded invoices into the A/P system for processing. Provide backup to the Administrative Coordinators by processing invoices in the A/P system during their absence for an extended period. + Provide weekly communication of Study Sessions and Public Hearings to the Director via email. + Provide weekly communication of weekend schedules to Management and staff. + Operate a variety of office equipment including a computer; input and retrieve data and text; scan, print, and otherwise organize and maintain complex technical electronic storage and filing systems. Daily, ensure all copiers are stocked with paper for the day on both floors; ensure copiers have the appropriate cartridges in stock; ensure paper shredders are emptied on a weekly basis. + Perform administrative duties within the department support system; supervise the ordering and storage of appropriate materials and supplies for Parks, Open Space and Cultural Arts and CSU Extension; recommend improvements to workflow, procedures, and use of equipment and forms. + Proofread a wide variety of reports, letters, memoranda, policies, and procedures for management review, including intergovernmental agreements, contracts, federal and state reports; manage the documents including collation and distribution of materials. + Receive, open and route mail and packages for Parks, Open Space and Cultural Arts and CSU Extension. + Input p card receipts into the Expense Management System for all employees under the work group assigned to the North and South Superintendents. + Assist Facilities Reservation Coordinator with booking pavilion rentals in the Event Pro System, check availability for clients, assist walk-in clients at the kiosk for Rotella Park Reservations, and issue receipts for payments. + Schedule meetings on behalf of Parks, Open Space and Cultural Arts and CSU Extension including meetings with the public , subcontractors, outside agencies, and staff meetings. + Maintain the first-floor conference room calendar. + Arrange food and beverage service when assigned. + Contact and arrange for office equipment to be serviced and/or repaired. + Order and maintain office supplies and kitchen inventories for Parks, Open Space and Cultural Arts and CSU Extension; organize supply areas and other work areas. + Assist in a variety of department operations; perform special projects and assignments as requested. + Input work orders into the Facilities Management work order system. + Perform other related duties and responsibilities as assigned. Supervisory Responsibilities: None Qualifications for Success Knowledge of: + General understanding of Parks, Open Space and Cultural Arts and CSU Extension with primary focus on administrative duties. + English usage, spelling, grammar, and punctuation. + Modern office procedures and practices including proper telephone etiquette. + Modern office equipment including computer equipment. + Computer software applications. + Record keeping, filing and electronic filing techniques. Ability to: + Learn functions, structure, and organizational policies of the County, and the office to which assigned. + Understand the organization and operation of the County and of outside agencies as necessary to assume assigned responsibilities. + Interpret and apply administrative and departmental policies, procedures, laws, and regulations. + Respond to questions from the Public and County personnel regarding policies and procedures in assigned areas. + Work cooperatively with other department, County officials, and outside agencies. + Perform responsible and difficult secretarial work involving the use of independent judgment and personal initiative. + Analyze situations carefully and adopt effective courses of action. + Compile and maintain complex and extensive records and prepare routine reports. + Independently prepare correspondence and memoranda. + Work independently in the absence of supervision. + Schedule and coordinate projects; set priorities; adapt to changing priorities. + Research, analyze, and summarize data. + Communicate clearly and concisely, both orally and in writing. + Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work. More Qualifications for Success Experience and Training Guidelines: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Experience:Three (3) years of responsible office support experience. Training and Education: + High school diploma or GED equivalent, supplemented by secretarial, bookkeeping, accounting, or clerical course work. + College level course work in business administration, computer science, or a field related to Parks, Open Space and Cultural Arts. License or Certificate:None Background Check: Must pass a criminal background check. Essential duties require the following physical abilities and work environment: + Ability to work in a standard office environment. + Ability to lift to 10 pounds. + Ability to sit for long periods of time. + Assist with special events as needed.
