JLL est à la recherche d'un(e) Administrateur(trice) de Propriété pour rejoindre son équipe dynamique; gérant un portefeuille diversifié à Montréal. Ce poste consiste à fournir un soutien essentiel au Gestionnaire de Propriété ainsi qu'à l'équipe opérationnelle, garantissant des opérations de gestion efficaces et fluides.

CE QUE VOUS FEREZ

Préparer et vérifier les listes de loyers; il est important de s'impliquer dans les augmentations de l'IPC du mois et d’assister au suivi des approbations des augmentations de l'IPC

Préparer les virements électroniques (EFT) pour le mois en se basant sur les listes de loyers, les factures en attente de paiement, les dépôts de garantie, etc.

Préparer les refacturations des locataires pour les factures d'électricité et le nettoyage supplémentaire en temps voulu, en demandant des bons de commande aux locataires si nécessaire

Effectuer des commandes d'achat et les envoyer aux fournisseurs

Superviser les comptes créditeurs et débiteurs

Assister les comptabilités clients et fournisseurs en assurant les paiements et les recouvrements dans les délais

Envoyer les avis de loyer selon les besoins et, en fin d'année, envoyer les factures des dépenses d'exploitation et des taxes aux locataires chaque année

Préparer les provisions pour dépenses et hydro pour le mois.

Assister à la préparation des contrats

Collecter les informations nécessaires pour ajouter de nouveaux fournisseurs dans le système et s'assurer que les fournisseurs sont inscrits dans le système selon les besoins

Envoyer des communications aux locataires

Aider lors des emménagements et déménagements des locataires

CE QUE NOUS RECHERCHONS

3 à 5 ans d'expérience dans un poste similaire

Connaissance de Yardi

Forte attention aux détails

Compétences organisationnelles et en gestion du temps

Bonne compréhension des baux et de leur analyse

Maîtrise de la suite Microsoft Office, en particulier Excel

Bilingue en français et anglais

JLL is seeking an experienced Property Administrator to join our dynamic team managing a diverse portfolio in Montreal. This role involves providing critical support to the Property Manager and the operations team, ensuring smooth and efficient property management operations. WHAT YOU’LL BE DOING

Prepare and verify rent rolls, for this it is important there is an involvement in the CPI increases of the month and can assist following up on the CPI increase approvals

Prepare Electronic Funds Transfers (EFT) for the month based on rent roll, invoices pending for payment, security deposits, etc.

Prepare tenant charge backs of electrical bills and extra cleaning in a timely manner, requesting PO’s from the tenants if needed

Make Purchase orders and send to vendors

Oversee accounts payable and receivable

Assisting the accounts payable and accounts receivable areas ensuring timely payments and collections

Send the rent notices as required and at the end of the year, send the bills for operation expenses and taxes every year to the tenants

Prepare the expense and hydro accruals for the month

Assist with contract preparation

Gather the information needed to add new vendors in the system and make sure the vendors are entered in the system as required

Send tenant communications. Assist with tenant move- ins and move- outs

WHAT WE’RE LOOKING FOR

3 to 5 years of Experience in the position

Knowledge of Yardi

Strong attention to detail

Organization and time management skills

Good understanding of leases and how to analyse them

Proficiency of Microsoft Office suite, particularly Excel

Bilingual in French and English
