HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

This AA requirement will support the School's Front Office (FO) and processes that will likely cross into the School's four groups

The AA is the sole admin support in the FO

As for the four school groups/division requirements, the AA serves as the primary liaison with the enterprise Front Office Special Assistants, and provides back-up coverage on occasion

The pace of operations varies and is dependent on tasking's, training peaks and annual program calls

The size of the staff assigned to the school collectively, is small (under 60) however, the school delivers hundreds of enterprise training hours to thousands of individuals during a calendar year

The AA is a singleton position assigned to the school and will provide a full range of executive, front office administrative support to a diverse management team, to include the Dean and Associate Dean of the school, the Chief of Staff, and six additional Division/Group Chief/Deputy Chiefs

The nature of the position demands a high degree of autonomy to support and fulfill work requirements in the school

Support provided to the school will include variety of executive administrative duties associated with a wide range of activities and involve partnering with professionals from across the Sponsor Organization

This assignment requires extensive knowledge of, or willingness to learn about, the Sponsor's administrative processes and procedures

In addition, the AA will be required to: Communicate verbally and in writing in a clear, grammatically correct, and concise manner

Maintain effective working relationships with the School Teams and mission partners

Adapt to changing work requirements and priorities

Perform routine tasks such as calendar management, order office supplies, etc.

Work independently and as part of a team, with minimal oversight

The AA should have Basic Skill with MS Word, MS PowerPoint, and MS Excel

Proficiency in, or willingness to learn and use, the following applications: SharePoint, Sponsor Vault Access System, Sponsor Travel Systems, Sponsor Access Request System, Sponsor Supply system, Sponsor Procurement System, Sponsor Training System and Sponsor Time System

Prior Sponsor experience and a working knowledge of the Sponsor's internal computer environment, is desired

The AA will be required to: Coordinate and provide administrative support to the School for interview panels. Serve as the School's Lead Timekeeper

Create and/or update phone cards

Onboard new employee by providing the School Welcome Package to ensure all new employees have the appropriate accesses

Update and make copies of the School Welcome Package

Serve as the primary vault custodian and serve as the continuity planning officer for the School

No certifications or licenses are required

WHAT YOU'LL NEED TO SUCCEED:

The position requires an active TS/SCI with Polygraph clearance

The position requires High School Diploma and three (3) years of relevant experience or equivalent combination of education and experience

Core hours are 8:00am - 4:00pm

Candidate must be able to operate in a team environment as well as successfully work on their own

This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
