Accounts Payable Specialist
Description We are seeking a detail-oriented and experienced Accounts Payable (AP)/Accounts Receivable (AR) Specialist with strong proficiency in QuickBooks to join our team. The ideal candidate will efficiently manage and process financial transactions, ensuring the accuracy and integrity of financial data. This position plays a critical role in maintaining relationships with vendors and customers while supporting the overall financial operations of the organization. Key Responsibilities: + Accounts Payable: + Process, verify, and post vendor invoices accurately and in a timely manner. + Identify and reconcile discrepancies in vendor accounts. + Prepare and process payments (checks, ACH, wire transfers). + Manage vendor relationships and address inquiries regarding payments or invoices. + Ensure compliance with internal controls, company policies, and audit requirements. + Accounts Receivable: + Generate, process, and distribute customer invoices. + Monitor accounts to identify outstanding balances and proactively follow up on overdue payments. + Post payments to appropriate accounts and ensure proper reconciliation. + Collaborate with customers to resolve billing discrepancies or disputes. + Prepare AR aging reports and communicate payment trends or concerns to management. + Data Management and Reporting: + Maintain accurate and organized financial records in QuickBooks. + Regularly reconcile bank accounts, credit card statements, and AR/AP ledgers. + Assist with month-end and year-end closing activities, including producing financial reports. + Collaboration and Process Improvement: + Work cross-functionally with other departments to streamline processes and improve financial workflows. + Identify opportunities for efficiency and contribute to implementing best practices in AP and AR management. Requirements + Experience: 2+ years of AP/AR experience, with demonstrated expertise in QuickBooks. + Education: Bachelor’s degree in accounting, finance, or a related field preferred (or equivalent work experience). + Technical Skills: Proficiency in QuickBooks (required), advanced knowledge of Microsoft Excel (e.g., VLOOKUP, pivot tables), and familiarity with ERP systems is a plus. + Soft Skills: Strong attention to detail, excellent communication skills, problem-solving ability, and high integrity in managing sensitive financial data.
