Description
Join our dynamic Finance department as an Accounting Assistant I/II with the City of Fairfield!
We are seeking a detail-oriented individual to provide exceptional customer service while supporting a variety of routine financial services, including Accounts Payable and/or Accounts Receivable functions. In this role, you will assist in performing a wide range of responsible clerical and technical accounting duties, contributing to the preparation, maintenance, and processing of accounting records and financial transactions. The Finance department is currently accepting applications to fill one vacancy; however, an eligibility list will be established for all City departments. Based on the successful candidates’ qualifications and experience, the position may be filled at either Accounting Assistant I or Accounting Assistant II.
DISTINGUISHING CHARACTERISTICS:
+ Accounting Assistant I is the entry level of this accounting office support series. Initially under close supervision, incumbents learn office and City procedures for a variety of accounting functions. As experience is gained, there is a greater independence of action within established guidelines. This class is alternately staffed with Accounting Assistant II and incumbents may advance to a higher level after gaining experience and demonstrating proficiency, which meets the qualifications of the higher-level class.
+ Accounting Assistant II is the experienced level class of this series, fully competent to perform a variety of financial and accounting office support duties under minimal supervision.
+ Both positions are characterized by the presence of guidelines from which to make decisions and the availability of supervision in non-routine circumstances.

Minimum Qualifications
Accounting Assistant I:
+ One (1) year experience including financial and statistical record keeping is required. Banking experience is highly desirable.
+ Education equivalent to graduation from the twelfth grade is required.
Accounting Assistant II:
+ Two (2) years’ bookkeeping, financial, office, clerical or accounting assistant experience and demonstrated competency equivalent to an Accounting Assistant I is required.
+ Education equivalent to the completion of the twelfth grade, supplemented by courses in accounting or bookkeeping is required.
LICENSE AND/OR CERTIFICATES
Possession of a valid Class C California Driver's License may be required.
Examples of Duties
Depending upon assignment, duties may include, but are not limited to the following:
+ Provide customer service to the general public and internal customers on the telephone and in person.
+ Process customer and vendor transactions; respond to inquiries regarding City policies, procedures and ordinances.
+ Maintain accounting, financial and statistical records and post data to computer system.
+ Prepare and process a variety of financial and accounting forms and documents in accordance with City policies and procedures.
+ Check various forms and invoices for accuracy, completeness and compliance with City policies.
+ Enter and retrieve data from an online or personal computer system and produce standard reports; prepare periodic and special reports.
+ Perform a variety of general office support duties such as typing, proofreading, filing, opening and distributing mail.
+ Balance and verify various payment and other incoming monies from the public and various City departments; prepare deposit forms as required.
+ Assist with various periodic billings, receive checks by mail and process and balance accordingly.
+ Reconcile monies and receipts and resolve discrepancies.
+ Prepare weekly accounts payable transactions from data entry through printing checks.
+ Perform document imaging and records retention functions.
+ Receive and process various financial documents to process claims for accounts payable; review claims to verify amounts, authorized signatures and proper coding.
+ Perform other related duties as assigned.
