Job Title Academic Support Coordinator Full Time/Part Time Full Time FLSA Exempt General Job Description This is a professional position responsible for providing support and developing systematic processes to ensure a clear pathway from admissions to graduation through the college’s undergraduate, graduate and doctoral programs. Serves as a liaison between the graduate and doctoral program coordinators and the graduate school. Supports undergraduate and graduate students on probation or suspension and assists them toward degree completion. Contributes to recruitment and retention efforts for the college. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Associate Dean. Essential Job Functions 1. Reviews documents related to theses and dissertations and assists with graduate and doctoral processes. Works closely with graduate coordinators, graduate faculty, student services staff, graduate school staff, and registrar staff.2. Develops and maintains social media accounts and communication for the department.3. Serves as the college’s liaison to the university’s graduate school staff and the registrar’s office related to graduate and doctoral program requirements.4. Communicates with graduate and doctoral students related to program requirements.5. Participates in the analysis, development and implementation of new services and processes in response to student needs and trends, making recommendations to the Director of Advising and/or Associate Dean.6. Reviews and updates degree maps and plans, attends program reviews, and assists in curriculum development.7. Provides support to the college’s probationary and suspended students. Maintains contact with students to monitor their academic progress and assist them toward degree completion. Works closely with undergraduate academic advisors and the Director of Advising.8. Plans, organizes and presents workshops to students on academic requirements, learning styles, stress management, testing taking skills, and other support topics.9. Schedules, attends and summarizes meetings related to graduate school, college and degree program requirements, forms and processing.10. Supports undergraduate and graduate recruitment by attending on-campus and off-campus recruitment events, representing the college and its academic units.11. Gathers data and compiles and analyzes reports for the purpose of monitoring and evaluating undergraduate and graduate program activities.12. Leads, coordinates and facilitates support events for faculty, staff and students.13. Verifies program materials, handbooks, guides, and websites are current and accurate. Non-Essential Job Functions 1. Serves as backup to other office/academic unit staff as assigned.2. May represent the division on various university committees.3. May advise undergraduate or graduate students when needed.4. Performs other related duties as assigned. 1. Knowledge of, or the ability to learn, university and departmental policies, procedures, and requirements related to the area of responsibility.2. Knowledge of academic advising, retention management, and/or instructional strategies effective for undergraduate and graduate students.3. Organizational skills in managing projects simultaneously while maintaining a satisfactory work product.4. Skill in using computer applications including spreadsheet, database, and word processing software.5. Skill in public speaking and delivering presentations to individuals and groups.6. Ability to exercise sound judgment in making critical decisions.7. Ability to identify problems, evaluate alternatives, and recommend effective solutions.8. Ability to communicate effectively in both oral and written form.9. Ability to explain policies and procedures to university faculty and staff, students, and the public.10. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.11. Ability to work effectively and patiently with students.12. Ability to set priorities and complete assignments on time.13. Ability to accurately prepare and maintain records, files, and reports.14. Ability to work with and maintain confidential information.15. Ability to effectively market the programs and services of the college.16. Ability to promote a favorable image of the college and the university.17. Ability to learn office and university-specific software. Physical Demands Required Education Bachelor’s degree is required. Required Experience and Training Two years of related experience is required. Preferred Qualifications Master’s degree is preferred. Experience in a graduate school, higher education admissions office and/or academic support office is preferred. Experience supporting student academic needs (including curriculum), student recruitment and retention, and communication plan creation and implementation is preferred. Experience with Banner or other institutional management systems such as Slate and Degree Works is preferred.
