Our hospitals, care sites and clinicians are recognized for clinical and operational excellence. **Job Summary:** The Academic Program Coordinator is a key professional role reporting to the Director of Medical Education. This position combines responsibilities related to curriculum management, admissions and outreach, student coordination, and compliance. The role supports the ministry’s Interprofessional Continuing Education (IPCE) initiatives, St. Rita’s Undergraduate Medical Education (UME) operating out of Mercy Health – St. Rita’s Medical Center in Lima, Ohio. The position requires collaboration with leadership, faculty, staff, and students to achieve programmatic goals, provides administrative support, and maintains compliance with accrediting bodies. The coordinator also serves as a liaison between internal and external stakeholders ensuring seamless coordination and efficient operation of all program components. **Essential Job Functions:** + Collaborate with IPCE leadership to optimize continuing education processes at Mercy Health – St. Rita’s & Bon Secours Mercy Health. + Plan and execute continuing education events, ensuring compliance with accreditation standards from Joint Accreditation and ACCME Standards for Integrity and Independence. + Serve as a resource for internal and external IPCE stakeholders, providing guidance on applications and program requirements. + Maintain and manage CE event databases, including attendee information, credit records, and reporting for compliance audits. + Coordinate relationships with faculty, speakers, and stakeholders for CE activities, ensuring logistics, budgets, and materials are handled appropriately. + Develop innovative IPCE programming to support interprofessional collaboration and learning. + Oversee creation of marketing materials for CE activities. + Conduct regular assessments and gather feedback on CE offerings to identify areas for improvement and innovation. + Manage Maintenance of Certification (MOC) for CME to assist physicians meet their board certification requirements through accredited CME that counts toward MOC. + Manage payment of invoices, faculty honorariums, exhibitor opportunities and preparation of the CE activity budgets for CE programs. + Develop and oversee the implementation of program curriculum, including handbooks, clinical schedules, competency-based rotation goals, and objectives. + Coordinate the organization and management of student rotations, including scheduling, assignment of preceptors, and completion of performance evaluations and program-related activities. + Plan, schedule, and oversee onboarding orientation for all students, ensuring smooth transitions and compliance with institutional policies. + Act as the primary administrative contact for students across medical, advanced practice nursing, and physician assistant programs. + Manage and maintain confidential student files and database records, conducting quality assurance audits to ensure accuracy and completeness. + Develop and maintain program and recruitment webpages, promotional materials, and content in educational platforms. + Serve as a proctor for standardized exams and assist in logistical planning for testing and evaluation as needed. + Act as a liaison with hospitals, universities, internal departments, and external stakeholders regarding preceptor recruitment, orientation, affiliation agreements, and external rotations. **Required Qualifications** Required Minimum Education: 2-year Associate Degree Preferred Education: 4-year Bachelor’s Degree _Note:_ degree in health sciences, health education, public health, business, or healthcare administration highly preferred. Minimum Years of Experience: + Two years of experience in healthcare administration or closely related profession highly preferred. **Additional Knowledge, Skills, and Abilities:** + Demonstrated proficiency with computer systems and software programs. + Ability to set priorities and meet deadlines in a fast-paced environment while maintaining high accuracy. + Capacity to function both independently and collaboratively, cultivating positive relationships with diverse stakeholders including leadership, students, staff, and faculty. + Strong attention to detail. + Excellent interpersonal, oral, and written communication skills. + Excellent organizational and time-management capabilities. + Familiarity with physician education and training requirements. + Knowledge of continuing education requirements (preferred). + Previous event planning experience (preferred).
