Academic & Educational Support Program Coordinator, Student Success
The Academic & Educational Support Program Coordinator is a part of the Office of Student Success in the School of Engineering. This position is responsible for four components consisting of Student Academic Support, Success Program Data Tracking and Office Administration. Duties require moderate exercise of independent judgment, initiative, and the ability to make decisions relative to the department’s operations as well as other tasks assigned. The position will function with a high degree of understanding of university life, policies, and procedures. The Office of Student Success (OSS) supports and fosters a community where students have opportunities to explore their interests and network. OSS supports engineering students through several different programs such as STEM Tutoring, Clark Scholars, Supporting Women in Engineering Leadership (SWEL), Fall Early Start Transition Program (FEST), V2 Connect, and TLSAMP. The OSS team also serves as the engineering school's liaison for campus partners like the Global Education Office and the Career Center. Additionally, OSS is the supervising department for engineering student organizations. Duties and Responsibilities Student Academic Support Program (40%): + Special events coordinator (i.e., but not limited to, E-week, transition to career workshops, order of the engineer) geared toward seniors and juniors + Manage alumni network on Graduway platform which includes but not limited to marketing to increase the number of student and alumni profiles. + Assist VUSE groups to connect with alumni network, which can include working with student organizations to identify and schedule alumni speakers, departments for alumni panelists, and other new initiatives needing alumni engagement + Work with and manage Clark scholars’ seniors and alumni information. + This person will work closely with the Clark Scholar Network on alumni initiatives and tracking alumni information. This can include identifying Clark Alumni as a guest speaker to invite back to campus during orientation or graduation programming. + Back up support for engineering specific student organizations. This includes help with making travel reservations (airfare and hotel), conference registrations, food and supplies for events. Program Data Tracking (40%) + Work with assessment lead to create and update excel templates and other templates as needed for data tracking of programs. + Tracking of program assessment data, including but not limited to GPA, student reflections, attendance at events, tutoring, and workshops etc. in Excel. + Programs that to be tracked are but not limited to summer bridge, tutoring, Clark scholars, TLSAMP and key workshops. + Administer surveys to student and other groups to get feedback on programming provided. + Surveys administered via Redcap forms + Assist with drafting reports to stewardship, donors, and government agencies, etc. for programming conducted and student participation Office Administrator (20%) + Serve as backup administrator + Coordinate room reservations for OSS programming + Potential Line manager role in overseeing student workers + Manage departmental OneCard and other financial transaction programs; Procurement and requisitions + Support Designated Human Capital Management (HCM): + Oversee all student employees in obtaining all required information for Oracle processing at least one week prior to the hard deadline. This deadline may be adjusted by the HCM depending on volume + I9, Background Check, Information release in Oracle, etc. + Other duties as assigned Supervisory Relationships: This position does not have supervisory responsibility. This position reports administratively and functionally to the Associate Dean of Academic Success. Qualifications + A bachelor's degree is strongly preferred. + At least three years of directly comparable experience is required. + Proficiency in Microsoft Office Suite, Adobe, and experience with databases is required. + Comfort with new technology systems and ability to adapt easily to changes in technology and processes is required. + The ability to work on multiple projects simultaneously is required. + Demonstrating a professional and pleasant attitude with the ability to work with considerable tact, diplomacy, and judgment when interacting with students, faculty, and staff is required. + Excellent verbal and written communication skills are required. + Strong organizational and critical thinking/problem-solving skills are required. + Experience working in a higher education/academic environment is preferred. + Experience working effectively with senior leadership is preferred. + A background in finances including experience reviewing budgets is preferred.
