**Responsibilities:**
GENERAL PURPOSE:
Toxicology training program academic administrator II for the Department of Environmental Medicine. Works in close coordination with the Co-Directors of Graduate Studies in the Department of Environmental Medicine. Responsible for all aspects of graduate studies program in the department, working closely with graduate students, faculty mentors, and alumni to our Toxicology Training Program.
**ESSENTIAL FUNCTIONS**
+ Manage all aspects of the Toxicology Ph.D. program in the Department of Environmental Medicine, funded by a T32 training grant (T32 ES007026-45) from the National Institutes of Environmental Health Sciences. This training program currently houses over 25 graduate students and post-doctoral fellows, and 30 training faculty from numerous departments through the Medical Center and River Campus. Prepare and process internal payroll appointment forms for all pre-and post-doctoral trainees, at least annually and as needed throughout the year as appointment dates to the training grant end, FAOs change, etc. Process appointment forms in xTrain (via eRA Commons) for all graduate students who are appointed to our T32 training grant. Maintain database on applicant information statistics, current students, post-doctoral fellows, and alumni to be used for Toxicology Training Grant renewals and annual reports. Work closely with training program co-directors and department senior research grants analyst on preparing annual RPPRs for the T32 training grant as well as competing renewals every five years.
+ Assist Co-Directors of Graduate Studies with recruitment efforts associated with the Toxicology Training Grant, including retrieving applications from SLATE, ensuring all applications to our program are complete, and distributing complete applications to the Toxicology Admissions Committee. Attend and participate in Toxicology Admissions Committee meetings, providing input and feedback on applicants. Set up interview schedules for candidates and coordinate their visits to Rochester, staying in frequent contact with candidates throughout the process from beginning to end. Solicit and compile feedback on all candidates from interviewers and current students who participate in recruitment weekend visits. Working with Graduate Education and Post-doctoral Affairs (GEPA) office, coordinate acceptance offers and rejections to applicants. Using own judgment, respond to inquiries regarding our training programs (verbally and written) from potential applicants. Update and maintain Toxicology Ph.D. Program department web site. Create and update Toxicology PhD Program flyer to be used in recruitment mailings and at recruitment meetings.
+ Work in close coordination with Office of Graduate Education and Postdoctoral Affairs (GEPA) in the School of Medicine and Dentistry as well as the Graduate Studies Office in the College to ensure that graduate student paperwork is completed accurately and on time—this includes appointment and payroll forms, course registration materials, health insurance forms, qualifying exam paperwork, and thesis defense paperwork. Attend various planning and informational meetings with the GEPA office.
+ Maintain continuous updates to Toxicology alumni database and directory. Arrange annual Toxicology alumni reception at Society of Toxicology (SOT) national meeting. Attend meeting to stay in close contact and network with alumni and current students/post-docs. Conduct departmental orientation for new graduate students by informing them of University academic policies and requirements, Toxicology Training Program polices, and guidelines for travel to scientific meetings. Review and process T&C reimbursements, ensuring students are adhering to such policies. Frequent verbal and written communication with prospective and current students as to our training program application procedures and requirements, as well as academic and University policies. Arrange annual welcome picnic for new Toxicology trainees each summer and work with graduate students on arrangements for other events throughout the year, including the annual Toxicology retreat.
+ Keep track of available slots on training grant to ensure that no slots go unfilled; proactively anticipate funding end dates for trainees and communicate with mentors for alternative funding sources. Manage recruitment budget as provided by GEPA and prepare and submit reimbursements to that office. Represent the Department and University at national meetings for graduate student recruitment and minority student recruitment, as needed. Maintain conference room schedule so that Toxicology courses, student meetings, seminars, etc. are reserved and scheduled accordingly.

**QUALIFICATIONS**
+ Bachelor’s degree required
+ Three years of relevant experience or equivalent combination of education and experience required
+ One year of which demonstrates ability to work with minimum supervision or an equivalent combination of experience and training preferred.
+ Knowledge of University policies and procedures, familiarity with personal computers and MS Office (MS Word, Power Point, Excel, etc.) required.
+ Must have the ability to manage multiple activities under pressure and demonstrated ability to meet deadlines. This position requires good judgment, independent thinking, effective organization and multi-tasking skills. Strong interpersonal and communication skills, including written communication reequired.
+ Must be organized, detail oriented, able to work in a team environment, and be able to anticipate needs, prioritize assignments and proactively resolve issues/problems required.
+ Ability to maintain confidentiality is essential required.
+ CLASP certification required.
