Position Objective:
This is the important position in the Company who will be responsible for planning, handling & leading event execution/ tour execution in line with Sales strategic activity roadmap, agent’s way of working and the company’s culture. The person is also expected to deliver agility in event execution/tour execution (offline, big scale events, MICE trip, convention, YEP, annual award dinner…) with initiatives and creativity
Responsibilities:
• To plan & supervise the event/tour planning and execution as per company’s strategic business objectives and sales activity calendar (seminar, workshop, sales event, corporates event, MICE trip….)
• To actively design in agent’s experience improvement journey via event execution protocol, digital innovation development and creative/agile event organizing.
• To assist Function Head to work closely with other crossed functions like sales internal agency communication, designer…to deliver vendor briefing, proposal screening, evaluation and appropriate communication to agents on event preparation/changes/updates.
• To account for event execution liquidation and post evaluation with integrity on assigned projects.
• To manage, support and be in-charge of local production parts in regional/global events (if any).
• Ensure a steady flow of relevant competitive information is provided to Senior Management, Sales, and Product Management teams.
• Identify and evaluate industry, market and product trends, existing and emerging competitors, investment platform intelligence, and other factors affecting the event environment.
• Encourage a flow of information to and from internal contacts, to capture intelligence gathered in the field.
• Be responsible for working closely with GA Team in project briefing, vendor selection, scoring, negotiation, and evaluation; following the bidding process. And then working with the selected vendor for the project implementation.
•Supervise event execution with expected quality, KPIs, frequency, agility, and budget.
• Prepare master timelines/checklists for assigned projects and coordinate effectively with involved parties to execute the projects.
• Follow up on project progress and support project other members to ensure all work is completed on schedule and as required.
• Report in time, identify event’s problems that arise during project implementation and propose solutions with least impact on quality and resources.
• Proactively use different tools in multimedia to visualize the creative ideas (design apps, video editing app…) and contents (copywriting…)
Requirements:
The following are the minimum qualifications an individual needs in order to successfully perform the duties and responsibilities of this position.
• University graduate, preferably majoring in tourism management, business administration or related majors.
• At least 3 years of work experience in the position of Tour/Event Specialist/ Supervisor or a similar role.
• Experience in working in event function/tourism.
• Good balance of planning skills and detailed operational experience.
• Time, project and work management skills.
• Ability to organize, work independently and work under pressure, tight timelines.
• Self-motivated, problem-solving skills.
• Travel is required.
• Professional, confident, careful, calm and mature personality.
• Must be bilingual with ability to read and write Vietnamese and English fluently, good translation capability.
• Must be proficient with Microsoft Office environment (Word, Excel, Power Point) and email.
